Role Summary
The role is responsible for construction contract and lien waiver drafting for multi-family real estate operations. This includes reviewing contract requests, verifying information provided is accurate, verifying calculations, drafting standardized contracts, managing internal/external communications, and ensuring compliance with policy and legal requirements while supporting construction, accounting and property management operations.
Internal Interfaces • Vendors for construction projects • PES India Management Team • BH US Legal stakeholders • BH Construction Project Managers and Property teams Job Requirements Education • UG: Any Graduate, PG: Any Postgraduate • Law graduates strongly preferred Relevant Experience • 2-3 years total experience • 2+ years in contract/legal operations or construction • Basic accounting knowledge required • Multi-family or Construction industry knowledge preferred • Familiarity with US legal terminologies and documentation • Strong attention to detail and legal risk awareness • Excellent written & verbal communication skills Technical Know-how/Tools used • Workflow Management: Ability to manage common mailbox with 20+ requests per day, track status of contract requests and follow-up on signed contracts and questions • Contract Management: Knowledge of contract review, drafting, and execution processes • Legal Documentation: Experience with review of Requests for Proposals or basic legal document alterations • Legal Risk Assessment: Ability to assess liability and identify contract clauses that must be adjusted based on varying scenarios • Document Management: Experience with contract tracking • Systems Proficiency: Yardi, DocuSign, RealPage Vendor Credentialing, SharePoint • Software Skills: MS Word, Excel and Outlook, Adobe (PDF editing and fillable PDFs) • Legal Technology: Familiarity with legal terminology and documentation standards • Process Management: Understanding of workflow processes and quality control Behavioural Skills • Ability to work with high attention to detail and accuracy in legal documentation • Strong analytical skills for legal risk assessment and contract review • Effective written communication for relaying concerns, questions, and answering questions with step-by-step instructions • Strong reading speed and accurate document processing skills • Ability to manage multiple priorities and meet deadlines consistently • Collaborative approach to working with cross-functional teams • Proactive problem-solving skills for addressing vendor and internal queries • Adaptability to handle varying contract types and complexity levels • Professional communication skills for vendor and stakeholder interactions • Proactive and resourceful problem-solving skills
Roles & Responsibilities Contract Drafting and Execution • Review contract requests in Yardi workflow along with supporting documents • Draft contracts, lien waivers and pay applications using standardized templates based on ownership group and risk level • Verify vendor credentialing status in RealPage before proceeding • Send contracts with payment application instructions to vendors • Review and validate returned contracts for any changes • Route contracts through DocuSign for VP approval and signature • Upload executed contracts back into Yardi and complete workflow steps • Monitor and respond to vendor and internal queries received in the shared mailbox Quality & Compliance • Ensure adherence to policy, standardized templates and legal requirements • Maintain accurate documentation and tracking spreadsheet • Flag high-risk contracts for additional review and verification • Support weekly and monthly reporting of contract and waiver volumes • Participate in process improvement initiatives to enhance accuracy and efficiency Key Result Areas • Volume Management: Process ~50 -150 contracts monthly within established timelines • Quality Standards: Maintain high accuracy levels with minimal errors as tracked by supervisor • Turnaround Time: Complete contract/lien waiver processing within 3 days • Compliance: Ensure all contracts and lien waivers meet legal requirements and company standards • Communication: Provide timely responses to vendor and internal queries • Documentation: Maintain proper records and workflow completion in all systems
