Title: Community Engagement Manager Reports to: Head of School The Miami Valley School (MVS). Community Engagement Manager is a strategic partner to the Head of School in supporting administrative operations, leadership priorities, and overseeing all community events. The Community Engagement and Events Manager has significant responsibility and autonomy to lead and manage these areas with input and guidance from the Head of School in coordination with the Leadership Team. In addition, the Community Engagement Manager is a member of the Advancement Office and oversees the alumni engagement program. This includes Alumni events, fundraising, and the MvX program among other roles and duties. The Community Engagement Manager focuses on facilitating opportunities for constituents to enjoy membership in the MVS community, and in turn, develops passionate word-of-mouth ambassadors, supports the organizational goals, and enhances the school culture and image, with alignment to the strategic plan. As the Community Engagement and Events Manager you will have an impact on the greater MVS community. Primary Responsibilities Community Engagement Duties: Designs, manages, and produces fundraising, community, and image-building events that contribute to the life of the school. These include, but are not limited to, Convocation, Commencement, Community Harvest, New Faculty Orientation, Division Special Events, Homecoming Weekend, Gala and Auction, Alumni Gatherings, Speaker Series, and Employee Professional Development and Celebrations. Own the strategy and develop systems for consistent, remarkable and inclusive school-wide events. Support and advocate that each event emulates the MVS values, image and culture. Manage the recruitment, training, and stewardship of volunteers for each event. Support community engagement events in partnership with Admissions and Marketing. Examples of these events include: Academic Excellence Night, Dayton Community Festivals, and other events as specified by Admissions, Marketing, and the Head of School. In partnership with the Advancement Department, actively identify and procure sponsorship opportunities to support both internal and community events. Manage event budgets, vendor payments, and expense/revenue reconciliation within established timeframes. Organize the procurement, storage, and maintenance of all event-related materials. Identify and build relationships with trusted vendors and negotiate cost-effective contracts for services, including in-kind donor partnerships for services. Proactively handle any arising issues and troubleshoot any emerging problems on the event day. Collaborate with various departments to execute event tasks, such as event scheduling, marketing, facilities use, technology, and campus safety. Design, implement, and manage external community experiences and serve as a school ambassador. Continuously improve engagement and guest experience by collecting and analyzing feedback and data. Manage front desk operations to enhance the first impression and overall visitor experience, including staff supervision. Serve as admissions entry point for campus tours, new student and family welcome experiences, admissions events. Note: Occasional nights and weekends are required for events Alumni Engagement Duties: Responsible for the management of alumni relations and community building to increase alumni engagement and support the fundraising efforts of the Advancement Department. Designs and implements a comprehensive engagement strategy for the MVS alumni community. Our alumni community not only includes MVS graduates, but also friends, family and associated organizations of our alumni base. Gathers, organizes, and reports alumni community data to include updated contact and professional information, relevant interests, and MVS-related engagement to the Advancement Department and the Board of Trustees. Responsible for the creation and execution of the yearly Alumni Awards Ceremony Partners with the Director of Athletics to create and execute the Athletics Hall of Fame Ceremony. Responsible for the creation and management of the MVS alumni Council. Supports the Advancement Department with other events such as: The Annual Fund, Gala, Rose Circle Ceremony, etc. Oversees Almabase in partnership with the Advancement Department to track and communicate with alumni. MVx Immersion Experiences Duties: Develop a five-year itinerary for the MVx Immersion Program. Oversee budget creation and goals to guide the MVx experiences. Oversee the collection of participant feedback to support and grow the MVx program. Establish a supportive and engaging environment for participants. Create and coordinate additional MVx opportunities outside of the multi-day experiences. ex.) one-day events. Partner with the immersive experience leader to coordinate and execute the experience. At least one adult immersive experience opportunity per year, alternating between an international drip and a domestic immersion. Demonstrate a commitment to reflection and innovation as MVS builds the MVx program. Be prepared to travel on some immersive adult experiences, depending on enrollment. Other Duties As Assigned Qualifications: Bachelor’s degree or equivalent work experience (3-5 years of relevant experience) Demonstrated creative planning, organizational, and problem-solving skills Demonstrated mastery of logistical event management Lead with great creativity, positive energy, and cultural humility Keen detail management and effective communication skills Experience negotiating with and managing outside vendors Ability to maintain a professional demeanor under stress and to exhibit good judgment when faced with conflicting interests and priorities Reliable and trustworthy with demonstrated experience in maintaining a high level of confidentiality with legal, governance, and personal matters Strong technology skills, including Google Suite, Adobe, and Microsoft Office Benefits.
