Primary Purpose:

Serve as receptionist for District Administration Building, provide a friendly and helpful atmosphere for visitors and direct incoming telephone calls in a courteous manner. Requires ability to communicate effectively in English and Spanish.

Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Effective organization, communication, and interpersonal skills

Ability to multi-task

Ability to follow written instructions

Ability to operate multi-line phone system

Ability to operate a personal computer and software to develop spreadsheets, databases, and perform word processing (such as Microsoft Word & Excel)

Ability to speak, read, and write in the Spanish language (Bilingual Required)

Experience:

One to two years of clerical experience in office setting

Major Responsibilities and Duties:

Reception and Phones

1. Receive and direct incoming calls, take reliable messages, and route to appropriate staff.

2. Greet and direct visitors.

3. Maintain visitor log and issue visitor passes.

4. Communicate with parents, employees, students, vendors, community members, and other individuals to answer questions and explain information.

5. Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc as needed.

6. Perform general office duties including faxing, copying, scanning and filing.

7. Maintain computerized files using a personal computer, including reports, employee phone directory, mailing lists, and visitor logs.

8. Maintain confidentiality.

9. Assume responsibility for maintaining the appearance of the front entrance area.

10. Assist in monitoring the security cameras for the administration building.

11. Perform other duties as assigned.

Equipment Used:

Multi-line phone system, personal computer, calculator, printer, copier, shredder, and fax machine.

Maintain emotional control under stress; work with frequent interruptions. Continuous sitting. Working in an office environment and with diverse community groups.
