Job Title: Administrative Secretary Supervisor: Director of Special Programs FLSA: Non-Exempt Contracted Days: 240 Days Job Summary: To develop and maintain effective and structured procedures for the Office of Special Programs. Qualifications:
• Bachelor's Degree preferred/associate's degree required • Previous secretarial/bookkeeping experience and calculating skills • Minimum of 3 years in general office procedures. • Familiarity with standard office equipment • Good interpersonal skills • Excellent grammatical skills • Office management experience. • Such alternatives to the above qualifications as the Board may find appropriate and acceptable. Essential Duties:
• Provide executive-level administrative support to the Director of Special Programs. • Manage calendars, schedule meetings, and coordinate appointments. • Prepare correspondence, reports, agendas, presentations, and meeting minutes. • Screen phone calls, visitors, and email communications. • Maintain confidential records and sensitive information in accordance with district policies. • Organize and maintain electronic and paper filing systems. • Prepare purchase requisitions and monitors purchase orders. • Maintains budget spreadsheets and expenditure records. • Process invoices and assist with payment tracking. • Coordinate conference registrations, travel arrangements, and reimbursements. • Assists with planning, coordinating and executing district-wide events. • Communicate with school administrators, bookkeepers, teachers, vendors, and consultants. • Maintain accurate financial and program records. • Ensure documentation complies with district record retention requirements. • Prepare reports using district information systems, spreadsheets, and databases. • Maintain office equipment and arrange service as needed. • Maintain fixed assets inventory. • Supervisor may assign other duties as needed.
