POSITION SUMMARY: Serves as the primary point of contact for customers regarding Family and Medical Leave (FML) and Military Leave. Provides customer service by explaining federal leave processes, distributing required forms, acknowledging and reviewing submitted documentation for completeness, maintaining confidential leave records, and supporting the administration of the District's Federal Leave Benefits. Performs intake, answering calls, follow through with doctor offices, records management, and administrative support functions for the Federal Leave Team. Maintains accurate federal leave records and files, monitors workflow timelines, prepares correspondence, and assists Federal Leave Analysts with case processing. This position works under the general supervision of the Benefits Manager and serves as a liaison between employees, external customers and the Federal Leave Team. This position reports to the Benefits Manager. KEY RESPONSIBILTIES: Serves as the initial point of contact for employees regarding Family and Medical Leave (FML). Responds to employee inquiries, explains leave procedures, distributes leave packets, reviews required documentation, and provides guidance regarding submission requirements. Performs intake and administrative processing of leave requests by receiving applications, reviewing documents for completeness, acknowledging receipt, creating electronic case files, entering requests into the leave management system, identifying missing documentation, requesting additional information as needed, and assigning completed cases to the appropriate Federal Leave Analyst. Serves as liaison between employees and the Federal Leave Unit regarding leave documentation, certification requirements, return-to-work documentation, leave status updates, and case processing. Maintains confidential leave records; prepares correspondence; monitors workflow; assists with reports, audits, document retention, quality assurance activities, records management, and cross-training within the Federal Leave Unit; and performs other related duties as assigned. Responsible for supporting various Human Resources events taking place during evenings and weekends. All other duties, as assigned and required, in order to perform the above services. KEY JOB RESPONSIBILTIES: High School Diploma or GED required. Associate's degree in Business, Accounting, Human Resources, or related field preferred. Two (2) years of progressively responsible experience in Human Resources, leave administration, payroll, records management, customer service, or related administrative support preferred. Experience providing customer service in a high-volume environment preferred. Make decisions and recommendations which affect the activities of others. Exercises independent judgment within established policies and procedures. Requires frequent interaction with employees, supervisors, and administrators regarding leave administration and documentation requirements. Excellent interpersonal skills are required for working with inter-organizational teams. Requires regular, frequent contact with external personnel of decision-making responsibility to discuss issues of moderate importance. Requires excellent written, verbal, and presentation skills. Utilizes Human Resources Information System, leave management systems, document management systems, Microsoft Office applications, electronic workflow software, and reporting tools to improve operational efficiency. Responsibility for the Welfare of Others: Constant (Daily) - to exercise the duty of care and protection of the health, safety, security, welfare, well-being, and best interests of the district's various stakeholders. Normal office environment. Occasional travel to district locations for meetings or events. Light physical activity. Frequent sitting, standing, walking, reaching, and keyboarding. Occasional lifting of files and office materials up to 20 pounds. NOTE: This is a Grade 21, 225-day position with a salary range of $39,702 - $61,023. Final salary placement within this range is determined based on individual credentials, years of relevant experience, and the guidelines outlined in the CCPS Compensation Handbook found here.
