Responsibilities

Scheduling & Administrative Support

• Answer incoming phone calls and respond to scheduling inquiries.

• Schedule, reschedule, and cancel therapy appointments.

• Communicate with families regarding missed appointments and the importance of maintaining consistent attendance.

• Confirm evaluation appointments and maintain accurate scheduling records.

• Notify therapists and leadership of schedule changes, cancellations, and no-shows.

• Train Therapy Technicians on scheduling procedures and communication expectations.

Front Office & Family Experience

• Welcome children and families in a friendly, professional manner.

• Check clients in for therapy appointments and ensure timely therapist notification.

• Verify insurance information and collect required intake paperwork.

• Upload consent forms, questionnaires, and other documentation into the electronic medical record.

• Assist with locating referrals and coordinating appropriate follow-up.

Clinic Operations

• Maintain a clean, organized, and welcoming clinic environment.

• Complete daily and weekly cleaning and stocking responsibilities.

• Clean and sanitize toys, therapy equipment, feeding supplies, and treatment areas.

• Monitor inventory and notify leadership when supplies need replenishing.

Team Collaboration

• Support therapists and clinic staff with daily operational needs.

• Communicate effectively with clinicians, leadership, and families.

• Demonstrate flexibility and professionalism in a fast-paced environment.

• Contribute to a positive, collaborative team culture focused on exceptional patient care.

Qualifications

• Previous experience in a medical office, healthcare setting, therapy clinic, or customer service role preferred.

• High school diploma or equivalent required; additional healthcare or administrative education is a plus.

• Excellent customer service and interpersonal communication skills.

• Strong organizational and time management abilities.

• Ability to manage multiple priorities while maintaining accuracy and professionalism.

• Comfortable using computers, electronic medical records, and scheduling software.

• Ability to maintain confidentiality and handle sensitive information appropriately.

• Ability to sit, stand, walk, and move throughout the clinic for extended periods.

• Ability to occasionally lift or move supplies and equipment up to 25 pounds.
