Overview of Role

The Administrative Coordinator – ELICOS Academic Team (remote) supports the National Academic Leadership Team by coordinating and completing academic administrative tasks, escalating matters as appropriate, and proactively seeking to improve systems and processes in academic and staffing administration. Reporting to the National Academic Administration Manager and working closely with the National Academic Director ELICOS & Pathways and campus Directors of Studies, the Administrative Coordinator – ELICOS Academic Team is responsible for supporting all aspects of academic and staffing administration across our five Australia campuses.
Location & Employment Conditions
This is a remote position based in New Delhi, India, supporting the ELICOS Academic Team across ILSC Australia campuses. The successful candidate will be employed by ILSC Education Group in New Delhi and will be on the payroll of ILSC New Delhi. All terms and conditions of employment will be governed by applicable Indian employment laws and regulations. The role requires regular collaboration with colleagues and stakeholders across Australia.
Job Duties
The duties of this position include, but are not limited to, providing administrative support to the National Academic Administration Manager, National Academic Director ELICOS & Pathways and Directors of Studies, and collaborating with colleagues to deliver key academic and staffing administration functions.
The duties and responsibilities include but are not limited to the following tasks:
• Attending Academic Team meetings where required and providing updates and recommendations on administrative matters and systems and processes improvement
• Assisting with regular report preparation and data extraction for the Academic Team
• Tracking teacher meeting and PD attendance records
• Preparing academic and staffing documentation for re-registration, audits and reports
• Managing academic and student engagement communications, including survey administration, monitoring bounced emails, and maintaining survey distribution systems and links
• Preparing, issuing and distributing academic and student achievement documentation, including work skills certificates
• Collating student attendance data and documentation, flagging inconsistencies or concerns, and presenting at Appeals meetings for review by the Directors of Studies and other academic stakeholders
• Maintaining academic systems, databases and shared resources to ensure data accuracy, consistency and compliance
• Supporting the implementation of academic projects, initiatives and process improvement activities across the ELICOS division
• Assisting with the collection, analysis and presentation of academic and operational data to support decision-making
• Assisting with academic compliance and student progress administration processes, including the preparation and maintenance of related documentation and records
• Continually reviewing and improving administrative processes and procedures, embracing innovation from both internal and external sources, identifying risks and opportunities, and making recommendations to the National Academic Administration Manager and National Academic Director ELICOS & Pathways
• Other related duties or projects as determined by the National Academic Administration Manager and National Academic Director ELICOS & Pathways

• Outstanding organisational skills
• Ability to manage multiple tasks simultaneously
• Ability to meet tight deadlines in timely manner
• Experience in administrative duties, preferably in an international college and/or school
• Experience in staff administration and data management
• Experience in academic leadership support and academic document management
• Excellent communication and interpersonal skills
• Ability to work effectively alongside and support other team members
• Ability to work independently and in support of national team across different time zones
• Excellent technical skills (data management systems, Microsoft 365, etc.)
• Fluency in written and spoken English
