Windermere and Bowness Medical Practice are looking for an enthusiastic Reception Team Leader to join our team. Based in the heart of the beautiful Lake District and supported by our fantastic Cumbria Health team, this is an exciting opportunity for someone with strong leadership skills, excellent communication abilities and a passion for delivering outstanding service.

The reception department is an integral part of the successful running of our service, responsible for the careful management of appointments, patient recall and support with prescriptions management.

This role will ensure our reception department is well-led, runs smoothly and provides excellent patient care and a positive experience.

Monday: 09:00 18:30

Tuesday: 08:30 17:30

Thursday: 08:30 17:30

Friday: 08:30 17:00

Main duties of the job

The post holder will be responsible for the efficient running of the reception area and deputise in the absence of the Practice Manager and Practice Coordinator.

Job description Job responsibilities

This list of duties and responsibilities, which follows, represents the broad range of tasks which may be required to be undertaken either routinely or periodically. This list is not exhaustive, and the role may include additional duties which are not listed here.

Main Duties and Responsibilities:

1. To oversee the reception area on an operational day-to-day basis, including line management of Reception team.

2. To deputise in the absence of the Deputy/Practice Manager.

3. To assist the Deputy/Practice Manager in any new projects including IT systems and policies.

4. Proficient user of EMIS and Microsoft Office Suite. Confident in picking up and learning new IT software packages. Training relevant Reception staff members on use of new software.

5. Monitor workload and delegate appropriately to Reception Team members.

6. Liaising with doctors/nurses/practice manager and surgery staff to ensure the best Patient Care outcomes possible.

7. To support the Deputy/Practice manager in gaining the best possible outcomes from the Reception Team.

8. To organise rotas & cover for Reception.

9. To train new reception staff, and monitor CPD and training,

10. To develop Reception Team so each member feels valued and ensures constant improvement and growth of knowledge within the team.

11. Ensure communications work within the reception Team, including holding a regular reception meeting for the team.

12. To support the reception team in the timely and safe management of prescription requests according to agreed practice processes alongside clinical and admin team.

13. To monitor Recalls and reminders, admin, documents, letters and scripts distribution and ensuring timely responses.

14. To ensure the Reception Team aid in the management of recalls in line with practice processes.

15. Contribute to the creation of all Reception Protocols and support the Deputy/Practice Manager in streamlining Admin and other such workflows.

16. Keep up with CQC requirements for patient and reception areas.

17. To ensure that income revenue is correctly logged and prepared for banking.

18. To keep an overview of policies using appropriate systems and ensure policies are updated and issued within agreed timescales.

19. Support and encourage the reception team to take ownership/champion particular areas of work.

20. Introduce the changes to the care navigation approach to support the new access to general practice model.

21. To undertake any duties required which are commensurate with this position.

Person Specification

Qualifications Essential

GCSE English and Maths (or equivalent)

Desirable

ECDL or equivalent NVQ Business Administration

Other requirements Essential

Willingness to undertake further training

Knowledge Essential

Intermediate computer skills

Desirable

Previous experience working within the NHS. Previous experience in a similar role.
