Job summary

Health Village Dearne Valley PCN, based in Rotherham, is looking for a PCN Business Support Officer to help keep our practices connected, organised and delivering the very best care for our local community.

No two days are the same. You'll support meetings and projects, keep data and reporting on track, and be a friendly, reliable point of contact for practices, staff and partners across the Network. It's a varied, fast-moving role where your organisation and eye for detail make a real difference to patients.

The role is advertised as Full Time however we are also open to applications from those interested in working upwards of 30 hours per week.

Main duties of the job

This is a busy, hands-on support role that helps our Network run smoothly day to day. Working alongside the PCN Manager and Clinical Director, you'll help our practices stay organised, keep projects and priorities on track, and make sure the right information reaches the right people at the right time.

Your week might span helping meetings run well and capturing what was agreed, pulling together figures and updates that show how services are performing, keeping plans and trackers current, and lending a hand with the everyday running of the Network from ordering and records to supporting new starters.

You'll be a go-to point of contact for practice teams, colleagues and outside partners, so being approachable, reliable and well-organised is just as important as any single task.

Job summary

Health Village Dearne Valley PCN is seeking a PCN Business Support Officer to provide comprehensive administrative, operational and project support to the Primary Care Network and its member practices. Working across the Network, the postholder will help deliver high-quality, joined-up services for our local population, acting as a key point of contact for PCN staff, member practices, external stakeholders and, where appropriate, patients. The role supports the smooth running of PCN programmes, projects, meetings, workforce initiatives and reporting requirements, helping the Network achieve its objectives and meet its contractual obligations under the Network Contract DES.

The postholder will report to the PCN Manager and be accountable to the Clinical Director.

Main areas of responsibility

Administrative support Provide comprehensive administrative support to the PCN Manager and Clinical Director; manage diaries, meetings, appointments and room bookings; prepare agendas, meeting papers and accurate minutes; maintain well-organised electronic filing systems and records; coordinate correspondence and respond to enquiries; and support the organisation of training events, workshops and staff meetings.

Project and service support Assist with the implementation, monitoring and evaluation of PCN projects and services; maintain project plans, action logs and progress trackers; support the collection and reporting of activity data and performance indicators; monitor deadlines and provide timely updates against agreed actions; and assist in preparing reports for PCN Board meetings and commissioners.

Data and reporting Collect, collate and validate information from member practices; produce reports, spreadsheets, presentations and supporting documentation; support the submission of contractual and performance returns; and maintain databases and workforce records accurately and securely, in line with UK GDPR and NHS information governance requirements.

Communication and engagement Develop and sustain positive working relationships with member practices and external organisations; support effective communication between PCN teams, practices and stakeholders; and assist in preparing newsletters, updates and communications materials.

Financial and operational support Support procurement and ordering processes; assist with monitoring budgets and maintaining expenditure records; process invoices and maintain financial documentation as required; and support workforce administration, including recruitment, induction and training records.

General duties Participate actively in team meetings, supervision and training; work flexibly to meet the changing needs of the PCN; and undertake other reasonable duties commensurate with the grade of the post. The postholder will maintain strict confidentiality at all times, promote equality, diversity and inclusion, comply with health, safety and infection control requirements, and act on any safeguarding concerns in line with local and national policies.

Working relationships

The postholder will work closely with the Clinical Director, PCN Manager, member GP practices, ARRS and wider PCN staff, the Integrated Care Board (ICB), community and secondary care providers, voluntary and community sector partners, and patients and carers where appropriate.

What we are looking for

We are looking for a well-organised, personable and detail-focused individual with administrative experience in a healthcare, NHS or office environment. You will be confident organising meetings and producing accurate minutes, competent using Microsoft Office (Word, Excel, Outlook and Teams), and experienced in handling confidential information. Strong communication and interpersonal skills, the ability to prioritise a varied workload and meet deadlines, and the ability to work both independently and as part of a team are essential. Experience within a GP practice, PCN or wider healthcare setting, knowledge of the Network Contract DES and NHS structures, experience of supporting project delivery, and familiarity with clinical systems such as SystmOne are all desirable.

Qualifications Essential

GCSE English and Mathematics at Grade C/4 or above, or equivalent Educated to A-Level standard, or equivalent relevant experience
