Job summary

Larksfield and Arlesey Medical Partnership is seeking a motivated and organised Administrator to join our friendly and supportive team. This is a varied role that provides essential administrative support across the practice, helping to ensure the efficient day-to-day running of services and supporting the delivery of safe, high-quality patient care. Working closely with the management team, clinicians and colleagues, you will contribute to a range of administrative functions while maintaining professionalism, confidentiality and excellent customer service

Main duties of the job

he successful candidate will support safeguarding administration, manage incoming and outgoing correspondence, prepare meeting agendas and minutes, maintain safeguarding registers and action logs, and respond to administrative queries. The role also includes supporting the Rota Manager with clinician rota coordination, maintaining accurate records and clinical rotas, producing reports and documentation, and assisting with governance, quality improvement and CQC compliance activities. You may also provide administrative support to the reception and secretarial teams during periods of operational demand.

Job description Job responsibilities

Provide comprehensive administrative support across the practice. Support safeguarding administration, including maintaining safeguarding registers, trackers and action logs. Process safeguarding correspondence, referrals and information requests. Prepare meeting agendas, take accurate minutes and circulate actions. Monitor shared email inboxes and ensure correspondence is actioned appropriately. Respond professionally to administrative queries from patients, staff and external organisations. Escalate urgent clinical, safeguarding or operational concerns where appropriate. Support the Rota Manager with booking locum clinicians and maintaining clinical rotas. Ensure clinician sessions and rota changes are accurately recorded and communicated. Maintain accurate electronic records, spreadsheets and filing systems. Produce reports, letters and other administrative documentation. Support audits, searches and governance activities, including CQC evidence gathering. Work collaboratively with clinicians, reception, secretarial teams and external stakeholders. Maintain confidentiality and comply with all practice policies, information governance and safeguarding procedures.

Provide additional administrative support across departments during periods of increased operational demand.

Person Specification

Qualifications Essential

Good standard of education with excellent literacy and numeracy skills. GCSE English and Maths (or equivalent).

Desirable

Business Administration qualification. Healthcare administration qualification.

Experience Essential

Experience working with the general public. Administrative experience within a busy office environment. Experience handling confidential information.

Desirable

Experience working within healthcare, the NHS or primary care. Experience supporting safeguarding administration or meeting administration. Experience using SystmOne, NHS Mail or clinical rota systems
