*About the Role*
The Medical Office Receptionist / Medical Secretary will be responsible for the day-to-day administrative operations of our clinic and will be the first point of contact for our clients and healthcare practitioners.
Responsibilities include:
* Greeting clients warmly and professionally upon arrival * Managing check-in and check-out procedures * Answering and directing telephone calls and responding to emails * Scheduling, confirming, changing, and coordinating client appointments * Managing the clinic booking system and practitioner schedules * Processing payments and issuing receipts * Processing and coordinating extended health insurance claims * Assisting with motor vehicle accident (MVA) and insurance-related administrative paperwork * Maintaining accurate client records and documentation * Communicating professionally with massage therapists, acupuncturists, osteopaths, and other healthcare professionals * Understanding and maintaining client confidentiality and privacy requirements, including PHIPA * Preparing and organizing administrative forms and correspondence * Assisting with billing, reconciliation, and daily administrative procedures * Following up on outstanding administrative items when required * Supporting practitioners with administrative needs * Maintaining an organized, clean, and welcoming reception area * Assisting with general office administration and clinic operations * Promoting appropriate clinic services and assisting clients with rebooking * Performing other administrative duties as required
*Qualifications*
*Required:*
* Completion of a recognized *Office Administration ? Health Services / Medical Office Administration* program * Previous experience working in a medical, healthcare, rehabilitation, or multidisciplinary clinic environment * Strong understanding of medical office procedures and terminology * Excellent computer skills and the ability to learn and confidently use clinic management software * Strong organizational and multitasking abilities * Excellent verbal and written communication skills * Professional, friendly, and compassionate approach when dealing with clients * Strong attention to detail and accuracy, particularly with scheduling, billing, and documentation * Ability to work independently while also functioning effectively as part of a healthcare team * Demonstrates a strong team-oriented approach, working cooperatively and respectfully with colleagues while contributing to a positive workplace * Understanding of confidentiality and privacy requirements in a healthcare setting

* Experience with HCAI and MVA claims * Experience with direct billing and extended health insurance providers * Experience with electronic medical records or healthcare practice-management software * Knowledge of PHIPA and healthcare privacy requirements * Previous experience in a multidisciplinary healthcare clinic
