Program Coordinator

Position Description: Supports the program director by performing administrative duties related to planning, directing and coordinating both the academic and operational activities of the program.

Additionally, this position is not eligible for remote or hybrid opportunities. All work is required to be performed onsite at TTEP.

Major/Essential Functions: • Coordinates and organizes the day-to-day office operations for the residency program. • Compiles data and statistics reports pertaining to the residency program. • Coordinates and assists with residency program meetings/events. • Serves as liaison between departments, programs, and other entities. • Updates and monitors the residency-related databases for management support, reporting, and recruitment. • Supports with preparing for program accreditation. • Assist with residency recruitment. • Partners with program director to establish and coordinate the residency candidate recruitment process. • Prepares documentation for new incoming residents. • Maintains the residency program purchase card. • Meets regularly with Residency Program Director and Associate Program Director. • Prepares and distributes resident evaluations. • Manages and maintains Affiliation Agreements, Program letters of agreement, and educational training agreements. All agreements must remain current. • Meets departmental and external deadline by maintaining accurate and timely records. • Remain current with all licensure, certifications and mandatory compliances and trainings required of this position. • Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.). • Personally, and consistently, demonstrate, display and act in accordance with Texas Tech Health El Paso’s Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution. • Perform all other duties as assigned.

Preferred Qualifications: • Thorough knowledge of office procedures, ability to set priorities, communicate effectively, and interact effectively with others. • Clear, concise verbal and written communication skills. • Moderate skills in computer and software programs (i.e., Microsoft Excel, Word, PowerPoint). • Courteous and polite communication in person, over the telephone, and in writing. • Must be professional at all times and handle confidential information appropriately. • Responsible, creative, self-starter, and able to multitask. • Knowledge of state and institutional regulations and policies applicable to the assigned area of work. • Performs responsible and complex duties associated with a specialized function of a section of clerical employees. • Thorough knowledge of policies, procedures, and methods within the area of responsibility is required. • Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination.

Pay Statement: Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan. Required Qualifications: • High school plus six years experience in related field. • Additional education may substitute for experience on a year for year basis.
