Document Control Rep III

Job Description: BAE Systems is seeking an entry‑level JAMA Suite Assistant to serve as a primary administrator for the JAMA requirements‑management environment. This role supports engineering and manufacturing teams across Endicott, NY, and Fort Wayne, IN, and performs software configuration‑management functions such as version‑control governance, build generation, and baseline control for aerospace control‑electronics programs.

JAMA Administration

• High‑volume data entry & quality assurance: Accurately input, validate, and maintain large volumes of requirements, test cases, and change requests while following strict formatting and naming conventions. • Traceability management: Create and maintain end‑to‑end traceability links (requirements ↔ design ↔ verification); generate matrices and reports for audits and stakeholder reviews. • Integration support: Assist with configuring and maintaining integrations between JAMA and PLM/ALM systems (Bitbucket, DOORS, Synergy) and custom APIs; perform imports/exports and resolve synchronization issues. • Automation & scripting: Support development of lightweight scripts (Python, PowerShell, JAMA native tools) to automate bulk updates, repetitive tasks, and report creation. • Data governance: Execute routine data cleanup, deduplication, and attribute‑standardization activities; maintain documented procedures to ensure repository integrity. • User support & training: Serve as first‑line support for JAMA users; provide quick‑response help, step‑by‑step instructions, and short training sessions focused on proper data‑entry practices. • Documentation & audit readiness: Maintain up‑to‑date documentation for operational processes, integrations, and automation scripts; help prepare traceability and configuration artifacts for audits. • Collaboration: Partner with Systems Engineering, QA, Program Management, and JAMA Administration teams to address evolving needs and drive workflow improvements.

Configuration Management

• CM process execution: Support program configuration‑management activities and ensure alignment with company and program requirements. • Plan and requirements support: Assist in reviewing and drafting technical requirement documents.. • Audit preparation: Help the CM Lead prepare evidence for customer, DFARS, ISO 9001, and other external/internal audits. • Workflow & tool enhancement: Identify opportunities to improve CM workflows, tool integrations, or documentation standards; collaborate across functions to test enhancements. • User and project support: Create CM‑related projects and provide administrative and troubleshooting assistance for engineering teams. • PLM data management: Update product structures and documentation within PLM systems; support data migrations and validation activities when importing data from external tools. • Tool maintenance: Assist with testing and deployment of CM tool updates and changes. • Compliance: Ensure adherence to proprietary information‑handling requirements and export‑control markings. • Build & release management: Generate software builds, establish and maintain baselines, and control formal releases. • Version‑control oversight: Manage branching and merging strategies within Bitbucket/Synergy to maintain code integrity across multiple development streams. • Change‑control execution: Facilitate Change Control Board (CCB) reviews and verify proper implementation of approved changes. • Documentation review: Perform structured reviews of technical documentation to ensure accuracy and completeness. • Legacy environment support: Provide administrative and librarian support for VAX/UNIX environments to maintain continuity for legacy programs.

Required Skills and Education: • Ability to exercise discretion and independent judgment while following policies, procedures, and regulations. • Strong verbal and written communication skills. • Effective interpersonal skills for interfacing with internal teams, customers, suppliers, and auditors. • Proficiency with tools used for preparing reports, documents, product structures, and engineering changes. • Ability to learn new systems quickly and work in a fast‑paced, multi‑project environment. • Ability to analyze, evaluate, develop, and implement processes within schedule and budget constraints. • Working knowledge of hardware and software configuration‑management tools, standards, and best practices.

Preferred Skills and Education: • Experience with Bitbucket, IBM DOORS, IBM Synergy, JAMA, Jira, and Windchill. • Familiarity with Razor, UNIX, and VAX environments. • Knowledge of basic coding (Python, C++, or similar) and generative AI tools such as Codium for coding. • Understanding of hardware, software, and firmware configuration‑management principles. • High proficiency in Microsoft Word and Excel.
