About this role

Job summary

To manage the Receipts & Distribution and the Material Management team function at University Hospital and/or Hospital of St Cross. To undertake all necessary administration functions associated with the supervising of the department. To manage the bulk store facility and ensure the timely delivery of goods to wards and allocated Team. To assist providing and monitoring an efficient and cost-effective materials management service to wards and departments within the Trust as part of the internal supply chain service. To also assist in providing an effective and efficient service with a strong emphasis on the quality of service. Actively contribute to the development of a dynamic receipts, distribution and materials management service to reflect the changing demands and priorities within the Trust. Provide a flexible working approach to meet the needs of the service.

Main duties of the job

Manage the day-to-day operation of the Materials management, Receipts and Distribution service for premises in and around the University Hospital site or at Hospital of St. Cross and delegate responsibilities as appropriate to the allocated team. Act as first line manager for Receipts, Distribution and Materials management staff. Manage the Materials Management function at ward level ensuring the procurement of stock items in compliance with Trust procedures and Quality Standards as clarified within the current ISO standards Manage and supervise the Materials Management staff and develop staff in line with an agreed training programme to ensure adequately trained resources are in place at all times to maintain an efficient service. Monitor progress of new staff and report to the Head of Procurement. Provide the level of service required by the Trust from the Materials Management function advising customers in all aspects of stock ordering / stock management and acting as a primary point of contact, attending meetings when required.

Job description Job responsibilities

Maintain the security of high value stock held in Receipts and Distribution and the any relevant storage area. Manage the space and stock held in the bulk or other relevant storage ensuring items are replenished in accordance with agreed inventory levels. Co-ordinate the internal delivery of stock between the storage areas and the various wards and departments. Co-ordinate the daily return of all NHS Supply Chain roll-cages, tote bins and pallets to ensure compliance with the Trusts objectives and to ensure that the Trust in good standing with NHS Supply Chain targets for returns. Maintain a record of the daily receipt of goods and produce monthly statistical information on the number of deliveries received. Provide the level of service required by the Trust from the Materials Management function. Support the expansion of the Materials Management function across the remaining wards and departments within the Trust in accordance with the proposed Materials Management 'roll out' plan.

Person Specification

Qualifications Essential

oNVQ Level 3 or equivalent. oQualified to, or willing to work towards, level 3 of the Chartered Institute of Purchasing & Supply or have equivalent training and experience of stock management. oManual Handling & Lifting in the Workplace. oLevel 2 of the Chartered Institute of Environmental Health (CIEH), oGood standard of general education. oFull UK Driving License.

oSupervisory qualification

Experience Essential

oExtensive experience managing a large Receipts & Distribution operation. oMaterial Management experience. oExperience of supervising and managing staff. oAbility to use Microsoft software packages including Word, Excel, e-mail and the internet and database applications.

oExperience of working in the NHS

Knowledge Essential

oKnowledge of stock /inventory management principles. oKnowledge of Trust and management policies and procedures. oKnowledge of administrative procedures.

oHave a thorough understanding of current issues relating to the NHS. oKnowledge of products used within NHS.
