Objective

The Innovation Hub Platform Sr. Coordinator plays a critical role in supporting the financial, operational, and administrative activities that enable the successful execution of Innovation Hub initiatives. This position is responsible for coordinating purchase orders, payments, expense tracking, goods receipts, vendor-related processes, and operational workflows while ensuring compliance with internal controls, financial requirements, and organizational standards.

Serving as a key liaison between the Innovation Hub, Finance, Supply Chain, Accounts Payable, vendors, and other business partners, the role helps ensure accurate financial reporting, operational transparency, and seamless cross-functional collaboration. The Sr. Coordinator also contributes to process standardization, documentation, continuous improvement initiatives, and data-driven decision-making by maintaining high-quality records, generating meaningful reports, and identifying opportunities to improve efficiency and operational effectiveness.

Main Responsibilities

• Coordinate purchase requests, purchase orders, goods receipts, invoice processing, and payment execution activities.

• Support OPEX and CAPEX tracking while ensuring compliance with financial controls and procurement processes.

• Maintain accurate financial and operational records through data validation, cleanup, exception tracking, and system updates.

• Serve as a point of contact for suppliers, third-party partners, and internal stakeholders to support issue resolution and process execution.

• Generate and consolidate operational reports, expense summaries, financial projections, dashboards, and performance metrics.

• Support alignment between Finance and Innovation Hub teams by ensuring consistency of financial data and reporting.

• Maintain and update process documentation, workflows, SOPs, templates, and training materials.

• Coordinate cross-functional activities with Finance, Supply Chain, IT, Regulatory, R&D, Clinical, PMO, and other business areas.

• Identify process gaps, risks, inefficiencies, and improvement opportunities while supporting continuous improvement initiatives.

• Coordinate logistics requests related to materials, couriers, shipments, and finished goods.

• Ensure confidentiality and proper handling of sensitive financial and operational information.

• Provide guidance, knowledge sharing, and onboarding support to junior team members.

Requirements

• Bachelor's degree in Business Administration, Finance, Operations, Information Systems, Supply Chain, or a related field.

• 3+ years of experience supporting operational, administrative, financial, procurement, or supply chain processes.

• Experience managing vendor communications, expense processing, payment workflows, and cross-functional coordination.

• Proficiency with Microsoft Office Suite, particularly Excel, Word, PowerPoint, Outlook, and collaboration tools such as SharePoint.

• Experience working with procurement, financial, ERP, or expense management systems.

• Intermediate English and fluent Spanish.

• Strong organizational skills, attention to detail, analytical thinking, problem-solving abilities, and a customer service-oriented mindset.

• Ability to manage multiple priorities, maintain confidentiality, and work effectively in a dynamic, cross-functional environment.

• Experience with data quality management, reporting, process documentation, and continuous improvement initiatives is preferred.

• Knowledge of Lean principles, project management methodologies, expense management systems, and business process improvement is preferred.

• Experience with Power BI, Concur, and ERP platforms (PO, GR, and invoice processing) is preferred.

• Advanced Excel skills, including reporting, analysis, and dashboard creation, are preferred.

• Licentiate degree in Business Administration, Operations, Supply Chain, or a related field is preferred.
