Jenks Public Schools Job Description Position: Site Administrative Assistant Reports to: High School Site Principal Supervises: None Qualifications:
• High School diploma or GED required.
• Possess typing skills needed for fulfillment of job requirements. Previous experience with word processing equipment required.
• Demonstrate aptitude or competence for assigned responsibilities.
• Exhibit effective written and verbal communication skills.
• Demonstrate strong technological proficiency, including the ability to efficiently utilize district software systems, digital communication platforms, productivity applications to support school operations.
• Satisfy all district requirements with regard to physical health and citizenship.
• Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
Position Goal: To assist in daily operations with exceptional organizational skills, office skills, and public relations skills and create a welcoming and professional office environment. Essential Functions and Responsibilities:
• Provide executive-level administrative support for the site principal and administrative leadership team.
• Lead the site's substitute teacher coordination process, ensuring daily staffing needs are met while collaborating with administrative assistants in each academic building to support substitute placement, onboarding, and communication.
• Responsible for monitoring and correcting TimeClockPlus for classified employees.
• Coordinate and monitor required employee paperwork, personnel documentation, onboarding materials, certifications, and compliance deadlines while collaborating with Human Resources.
• Maintain the principal's calendar and coordinate administrative meetings, deadlines, and priorities while collaborating with the Director of Student Activities and other departments to ensure accurate coordination of school events.
• Coordinate facility usage requests and maintain the master facility-use calendar for events occurring during and outside the instructional day.
• Work with the Financial Administrative Assistant regarding purchasing, travel, activity fund processes, budget-related documentation, and other financial workflows as needed to support efficient site operations.
• Coordinate the collection, organization, and submission of documentation required for state accreditation and other district reporting requirements.
• Organize and supervise the staff check out process for the site on the teachers' last workday of the year.
• Coordinate building access when school is not in session.
• Proactively manage and protect the principal's schedule by coordinating appointments, prioritizing requests, anticipating conflicts, and ensuring the principal's time is aligned with school priorities.
• Serve as the primary communication hub for the principal's office by coordinating information among administrators, staff, students, families, district departments, and community partners.
• Responsible for ordering all forms needed for the site principal's office.
• Distribute mail as needed.
• Help in organization and participation of enrollment day.
• Serve on various committees as site representative.
• Perform all other duties as assigned.
