The Executive Liaison is a strategic partner to the Head of School and Chair of the Board of Trustees in supporting administrative operations, leadership priorities. The Executive Liaison has significant responsibility and autonomy to lead and manage these areas with input and guidance from the Head of School and Board Chair, in coordination with the Leadership Team. The Executive Liaison focuses on supporting the Head of School, Board of Trustees and facilitating opportunities for constituents to enjoy membership in the MVS community, and in turn, supports the organizational goals, and enhances the school culture and image, with alignment to the strategic plan. As the Executive Liaison you will have an impact on the greater MVS community. Primary Responsibilities Executive Liaison Duties (60% of position, about 24 hours per week): Provide administrative support for the Head of School, such as calendar management, scheduling meetings with internal and external constituents, reviewing weekly priorities, and assisting with preparation prior to meetings and events; Provide support for the Board Chair, Board Committees, and Trustees. Build and implement systems and processes to improve operational efficiency, accuracy, and organization; Complete special projects for the Head of School in support of institutional priorities; Serve as a member of the Leadership Team and support meeting and retreat preparations, such as contributing to the agenda, preparing materials, note-taking, and meeting follow-up; Manage the internal and external Major Dates Calendar in collaboration with the Head of School; Support the Head of School and the Board Chair in the organization, creation, and execution of the School’s Strategic Plan; Support the metrics that guide Strategic Plan initiatives and ensure we are meeting our goals; Create a board dashboard and serve as the main point of contact for the people in charge of Strategic Plan initiatives; Assist with tracking expenses in the Head of School budget; Serve as administrative liaison for the ODE, OAIS, NAIS, and ISACS; Serve and support as a member of the Crisis Management Team. ex.) execution of drills, management of meetings, etc. Support the Board Chair with the following duties: Provide administrative support Assist with tracking expenses in the Board of Trustees budget Attend and support Board of Trustees meetings, including reserving meeting room(s), coordinating necessary technology, and catering Prepare and distribute meeting materials Record and distribute meeting minutes Maintain Board records Partner with the Governance Chair to support Governance Committee activities and Board succession planning Assist with new Trustee orientation Create and manage Board meeting calendars Schedule Annual Board self-assessment surveys Support Board Committees in organizing, executing, and documenting their committee meetings. Support the Onboarding and training of the Board Chair and new trustees Serves as a steward of highly confidential information and acts as a trustworthy liaison between the Head of School, Board Chair, and internal and external stakeholders on key matters. Other duties as assigned by the Head of School. Note: Occasional nights and weekends are required for events and Board meetings Front Desk Duties (40% of position, about 16 hours per week): Manage phone lines. Route inquiries, forward calls, and handle voicemail messages efficiently. Greet on-site visitors. Welcome guests, verify the nature of business, and announce arrivals. Provide institutional information. Answer general questions about the school for caregivers and the public. Coordinate incoming mail. Receive, sort, and distribute letters and packages across all departments Enforce visitor screening. Process guests and vendors through the visitor management system. Issue security passes. Verify credentials and hand out identification badges to all building entrants. Process daily payments. Handle credit card transactions for tuition, incidentals, and products. Manage remote deposits. Deposit checks electronically using a bank terminal and maintain accurate financial logs. Deliver clerical support. Assist departments with miscellaneous administrative tasks. Maintain workspace supplies. Monitor front desk inventory and order necessary office products. Qualifications: Bachelor’s degree or equivalent work experience (3-5 years of relevant experience) Demonstrated creative planning, organizational, and problem-solving skills Lead with great creativity, positive energy, and cultural humility Keen detail management and effective communication skills Ability to maintain a professional demeanor under stress and to exhibit good judgment when faced with conflicting interests and priorities Reliable and trustworthy with demonstrated experience in maintaining a high level of confidentiality with legal, governance, and personal matters Strong technology skills, including Google Suite, Adobe, and Microsoft Office Benefits.
