About this role
Non-Exempt General Definition of Work Performs essential record keeping as mandated by the North Carolina Department of Public Instruction. Also maintains activity bus information with in Wherebus and LINQ. Work is performed under the limited supervision of the General Manager of Transportation. Education and Experience High school diploma or GED and five years progressive job experience, and /or equivalent in combination of education and work experience. Salary Pay Grade NC09 Reports to School Bus Supervisor/Transportation Planner Essential Functions
• Compile Monthly TD19 for the State reimbursement (Billing of all CCS Departments for fuel, Charter Trip Inspections and School vehicles labor and fuel). Create paper and digital files.
• Maintain paper and digital copies of all state emails
• Create Work orders for Technology & Maintenance
• WHEREBUS: schedule, enter mileage, driver information and create monthly invoices.
• Print weekly reports: Work orders open by mechanic, yellow bus field trips for mechanics, planners and Bus Supervisors, weekend list of activity trips for fueling.
• Provide Wherebus Customer Service E-mail and phone for all assistant principals and athletic directors and whoever else may have activity Wherebus questions.
• Maintain BSIP information as routes and mechanics change
• Sell buses & submit payment to the State.
• Obtain license plates and complete title work for all new buses and vehicles within CCS.
• Stop Arm Violations – collect and fax to proper authorities
• New Employees: Obtain BSIP employee numbers, BSIP user ID and help familiarize them with CCS operating systems (email and timekeeper).
• Prepare TD1: yearly report with combined information from Parts, Finance and TIMS
• Perform other task as directed by Transportation Director or supervisor
Knowledge, Skills and Abilities
• General knowledge and experience with the entire Microsoft Suite including Word/Office, Excel, and PowerPoint.
• Advanced knowledge of Microsoft Excel
• Ability to create tables, spreadsheets, and publishing formats
• Ability to work independently without close supervision.
• Ability to understand and follow detailed, written and oral instructions.
• General knowledge of standard office procedures, practices and equipment.
• Ability to learn specialized equipment and software based on district needs.
• Ability to develop and present ideas effectively, orally and in written form.
• Ability to maintain financial records and prepare financial reports.
• Ability to meet all deadlines in a fast-paced environment by organizing and prioritizing tasks.
• Ability to establish and maintain effective working relationships with associates, staff and the general public.
Physical Requirements
• This work requires the occasional exertion of up to 50 pounds of force.
• Work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and lifting.
• Work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly; hearing is required to perceive information at normal spoken word levels.
• Work requires visual inspection involving small defects and/or small parts, operating machines,
• Work requires preparing and analyzing written or computer data, operating machines, operating equipment and observing general surroundings and activities; work occasionally requires exposure to fumes or airborne particles, exposure to toxic or caustic chemicals and exposure to outdoor weather conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
Special Requirements
• Able to obtain a Notary License from the North Carolina Secretary of State
