About this role

This position is Located at the Parkview Education Center 1919 W. Cook Road. PURPOSE Perform a variety of secretarial and administrative assistant duties to relieve Principal of clerical detail; coordinate flow of communications, correspondence and information for the Principal; responsible for main phone lines, route calls to necessary departments. MINIMUM QUALIFICATIONS Any combination equivalent to: graduation from high school supplemented by college level coursework in business, organizational leadership, or a related field and two years of secretarial experience. Employee must have strong office, computer, public relations and oral and written communication skills. Employee must have experience answering a multi-line phone system and be able to multi-task. Must possess knowledge of the terminology, practices and procedures of the District. ESSENTIAL FUNCTIONS

• Provide confidential secretarial and administrative support services to the staff; assure smooth and efficient office operations; assist with coordinating and assure proper and timely completion of office projects and activities; coordinate flow of communications and information; establish and maintain filing systems; receive, sort, and route incoming mail as needed

• Serve as the primary secretary to the Career Academy office; provide public relations and liaison services; initiate, screen and receive telephone calls for the main phone lines; take, retrieve and relay messages as needed; respond to requests, complaints and questions from staff and the public; Assess all calls to accurately decide on where is best to transfer calls; refer difficult issues to the Principal.

• Perform prepare and maintain a variety of records, logs and reports related to programs, projects, services, purchase orders, personnel, communications and assigned duties.

• Maintain appointment, project and activity schedules and calendars; coordinate, reserve facilities and equipment for a variety of meetings and events as assigned; compile and prepare agenda items and other required information and materials for meetings and other events; Maintain Outlook reservation calendar for meeting rooms in the building.

• Strength and Stamina: Capability to lift, carry, push, or pull up to twenty (25) pounds or more.
