About this role
Spotsylvania County Public Schools is seeking an experienced administrative professional to join our team at the John J. Wright Educational and Cultural center to provide secretarial support to our administrators and educational teams! As a member of the school's administrative support team, this role may also assist with any projects or tasks related to the goals, objectives and programs of the building or department assigned. Essential Job Functions:
• Receives and screens visitors, staff members, telephone calls and incoming mail, personally responds to inquiries by making decisions which in the employee's judgment do not require the supervisor's attention.
• Ensures that daily attendance is recorded in Synergy in an accurate and timely manner
• Shares daily attendance reports with administration and school nurse
• Prepares and sends letters on a semi-monthly basis to alert parents to students' absences
• Maintains accurate sign-in books for SCPS visitors, as well as managing volunteers, visitors and contractors on the Raptor system.
• Maintains student record management system,to include a sign-out/in log for staff removing files from the records room
• Organizes the flow of correspondence and other pertinent data, establishes and maintains a filing system that provides for the efficient operation of the department while maintaining confidentiality.
• Prepares, produces, and makes appropriate distribution of all correspondence, including letters, handbooks, memoranda; reports, recommendations, notices, orders, requests, schedules, etc and any other necessary informational items.
• Processes registration for new students, to include:
• Explains process to prospective new students' parents
• Collects required documents to confirm eligibility for enrollment
• Interacts with school administration and other staff to make them aware of incoming students' eligibility for special services
• Interacts with school nurse to ensure school entrance requirements are met
• Interacts with school social worker to assist families with unstable housing or other personal situations
• Tracks students who have left the school, coordinating with parents to make sure that school materials are returned, and with the new school to send appropriate records.
• Writes tardy passes for students and records early dismissals.

• High School Diploma or GED
• A minimum of two (2) years working with groups of individuals either within an instructional, educational or related setting
Preferred
• Associates Degree from an accredited college or university

Employment Terms: This position is classified as an as hourly support role. The schedule for this position will be considered part-time and structured on an hourly, as needed basis.
