THE ROLE OVERVIEW

As a Sales & Marketing Coordinator, you will be a key point of contact for guests planning their ski holiday in Hakuba. Your primary responsibility will be processing and fulfilling lift-pass orders accurately and efficiently. You will also manage inbound enquiries relating to equipment rentals, ski and snowboard lessons, tours, and other holiday add-ons, helping guests plan and book every aspect of their trip.

You will also support the wider Sales & Marketing team across a variety of projects, including large-scale events, social media content, promotional campaigns, and basic graphic design work. This is a varied, hands-on role suited to someone who is highly organised, detail-oriented, guest-focused, and comfortable working in a fast-paced office environment.

SALES & MARKETING COORDINATOR DUTIES AND RESPONSIBILITIES

1. Lift Pass Fulfillment

• Process and fulfill lift pass orders accurately, with strong attention to detail.

• Manage order records, confirmations, and any corrections or amendments.

• Flag and resolve discrepancies before they become guest-facing issues.

2. Guest Inquiries & Sales

• Respond to inbound inquiries including rentals, lessons, tours, and other activities.

• Guide guests through their options and help them organize and book the right combination of services for their trip.

• Communicate professionally with guests and service providers to ensure bookings are confirmed and details are correct.

• Maintain accurate guest communication and booking records.

3. Marketing & Social Media Support

• Assist with the creation of marketing materials and graphics.

• Support social media content planning, creation, and posting.

• Contribute ideas and content that reflect HHG's brand voice across channels.

4. Events & Ad Hoc Projects

• Support large-scale events run by HHG, assisting wherever extra hands are needed.

• Jump into other marketing or operational projects as priorities shift.

• Work collaboratively across teams to help deliver campaigns and initiatives on time.

REQUIREMENTS

• Legal right to live and work in Japan.

• Strong attention to detail, particularly for order processing and fulfillment.

• Excellent written and verbal communication skills in English.

• Experience with Canva or similar graphic design tools.

• Experience managing social media accounts/content.

• Strong computer skills, including Microsoft Office and Google Workspace.

• Ability to work flexible hours, including evenings, weekends, and public holidays.

SALES & MARKETING COORDINATOR SHIFTS

Marketing and Sales Coordinators are expected to work 40 hours per week. Working hours will vary depending on order and inquiry volume, event schedules, and operational requirements, including occasional evenings, weekends, and public holidays.

ACCOMMODATION

We provide various accommodation options for all employees, offering staff housing in the Happo and Wadano areas. Depending on your role, you will be assigned dormitory-style rooms, shared rooms with one or two roommates, or private rooms. The specific room assignment will be determined based on the seniority level of the position you are hired for.
