Job Title: Administrative Assistant – Building Secretary Reports to: Building Principal Evaluated by: Building Principal Job Goal: The goal of this position will be assigned responsibility for various school office functions in addition to high level secretarial tasks and administrative assistance to department staff. Essential Requirements: To perform this job successfully an individual must be able to execute each requirement satisfactorily. The requirements list below are a representative of the knowledge, skill, and/or ability needed for the position. 1. Demonstrate aptitude or competence for assignment. 2. Knowledge of office practices and operation of standard office appliances, including desktop computers and copy machines. 3. Knowledge of secretarial procedures as applied to a school building. 4. Ability to work with confidential information. 5. Ability to communicate clearly and effectively both orally and in writing. 6. Ability to work cooperatively with others. 7. Requires effective organizational skills and attention to detail. 8. Ability to meet deadlines, and demonstrates punctuality and good attendance. 9. Ability to operate keyboard devices at a moderate speed. 10. Ability to organize and direct office services for a school office. 11. Ability to use standard data base, spreadsheet and word processing software effectively. Essential Duties & Responsibilities: 1. Oversees process of and assumes responsibility for timely and accurate completion of office functions. Coordinates workloads and information with other support staff which may include: a. Overseeing maintenance of office equipment. b. Issuing building keys. c. Maintaining inventory/ordering office. d. Posting, distributing newsletters. e. Maintains student records. 2. Enrolls/drops students, completes accompanying paperwork. 3. Processes mail, assists in preparation of reports, maintains staff and building files, answers inquiries from staff, students, parents and all other customers 4. Provides first aid as needed. 5. Monitors student immunization records and updates health folders. 6. Prepares health related reports and maintains insurance records. 7. Prepares notification of meetings, agendas and minutes then word processes and distributes as required. 8. Coordinates collection and processing of forms required by local, state and federal programs. 9. Administers/monitors medication for students; documents all medicine or treatment administered or monitored. 10. Performs other duties as assigned. Qualifications / Certificates, Licenses, Registrations, Bonding, and or Testing Required: 1. High School diploma or equivalent. 2. Minimum three (3) years clerical/secretarial/bookkeeping/account experience preferred. Physical Demands: Work is mostly sedentary with periods of light physical activity. Typical positions require employees to walk or stand for long periods; lift and carry up to 20 pounds; climb stairs, bend, reach, hold, grasp and turn objects; and use fingers to operate computer or typewriter keyboards. The work requires the ability to speak normally and to use normal or aided vision and hearing. Work Environment: Work is performed in office, classroom and/or other educational setting. FLSA Status: Non-exempt Days / Terms of Employment: 178 Days / Nine-month position. Salary to be determined by the School Board of Education.
