About this role

Job summary

A self-motivated individual with a flexible approach and great customer service skills is required to undertake the role of Materials Management Officer in this busy NHS Hospital Trust, based at Bedford Hospital.

Working within a small team & reporting to the Supply Chain Supervisor you will be required to manage inventory by counting stock levels of medical consumables using an electronic data capture system, ordering products to maintain agreed levels and re-stock these items at the point of use. You will be visiting multiple wards and departments on a rota basis over each week.

You will work closely with departmental budget holders and therefore in addition to being computer literate and physically fit, the post holder must be a good communicator with a high degree of customer focus.

Main duties of the job

To maintain Ward and Departmental Stock levels of medical consumables to agreed levels on a weekly basis. You will use electronic handsets to perform stock counts and NHS ordering platforms to process orders.

You will be responsible for putting away the delivered order for each of your areas, ensuring you adhere to good practice such as stock rotation, reporting of missing goods/discrepancies etc.

You will be expected to communicate with a wide range on internal and external stakeholders using various communications means to include telephone, Microsoft Office and face to face.

The role can be physically demanding to include the picking of items held on site and so you should have a reasonable level of physical fitness.You will be expected to cover for colleagues in times of leave/sickness.

You will undertake regular reviews with departmental managers to ensure value for money and reduced wastage. You will also support with departmental goals such as standardisation of products to achieve savings and efficiencies.

Job description Job responsibilities

To assist in rationalisation and standardisation of the stock range. To ensure all orders placed are received and are as ordered. To pick and pack items of stock held in stores as required. Check for back orders recording and monitoring their arrival so that if necessary alternatives can be obtained and customers can be informed of any possible disruption to supplies. Provide a quality service by determining the correct stock levels to ensure optimum operational performance and ensure a continuous stock service. Operate the materials management system using automatic data capture and on line communication. To review with ward managers and departmental heads stock levels as required. When appropriate using the Requirement Review Report amending the system and producing bar codes as necessary. Respond to any queries and enquiries in a timely and courteous manner. To assist where required in the planning and implementation of changes in delivery patterns as affected by Bank Holidays. To assist in the monitoring of the delivery record of NHS Logistics so that any shortfall in the 98% availability is known. Order and unpack stock and non-stock items in accordance with the departmental procedures. Deliver goods and stock when required complying with health and safety at work regulations. (To include wearing/using PPE). Have a flexible attitude to working hours to meet the needs of the customer. Provide accurate and timely reports from the NHS Supply Chain system to assist in effective decision-making.

Qualifications Essential

Good general standard of education to at least GCSE level or equivalent

Experience Essential

Stock management experience Experience of Customer facing role Experience of using online ordering systems

Experience of working in the NHS Experience working in a stores/warehouse environment Experience in using NHSSC eDC software

Skills Essential

Good and demonstrable written and verbal communication skills Manual Handling knowledge Able to perform physically demanding role
