Job summary

This is an exciting opportunity to join a small and dynamic team where you can shape and directly impact our communications and business operations to make our offers visible and accessible to the Primary Care workforce. This is a position for a creative, organised and proactive individual who is willing to learn and develop their career in communications, administration and healthcare. This role is designed for a person who can hit the ground running, take initiative and respond quickly on their feet to provide informative, engaging and responsive support across both communications and operational functions.

Main duties of the job

As a highly organised individual with the ability to manage multiple tasks, you must be able to work in a fast-moving environment, communicate effectively with the team, and be used to working to tight deadlines. This role spans communications, customer service and administration, including managing our shared inbox, coordinating digital communications, and supporting key projects, events and business processes, with opportunities to take on increased responsibility as part of your development.

Job description Job responsibilities

Communications and engagement Develop and maintain digital channels including website, newsletters, social media and apps Create and publish engaging, accessible content tailored to different audiences Support planning and delivery of communications campaigns Work with colleagues to translate complex information into clear messaging Capture and share content from events (e.g., photos, posts, short videos) Edit and publish recordings from online events Monitor engagement metrics and produce basic performance reports Maintain brand consistency and promote organisational visibility Build relationships with partner communications teams and share content Business administration Manage shared inbox and communication channels, ensuring timely responses Triage and signpost enquiries to appropriate leads Maintain contact records and communication logs Provide a positive, professional first point of contact for stakeholders Organise meetings (agendas, minutes, actions, logistics) Support project tracking and delivery against deadlines Maintain accurate records, documents, and filing systems Coordinate associate/admin processes (e.g. reviews, documentation) Support onboarding/offboarding and general office administration Develop and maintain standard operating procedures (SOPs) Events and engagement support Provide administrative and digital support for events Manage registrations and attendance tracking Support live delivery (chat moderation, troubleshooting, logistics) Finance and reporting administration Maintain invoice logs and support invoice processing Track learning and development funding requests and evaluations Liaise with finance colleagues and support year-end processes Assist with data collection, reporting, and performance monitoring Continuous improvement and team support Identify opportunities to improve communications and admin processes Contribute ideas, support team priorities, and cover key functions when needed Support colleagues to use systems and processes effectively

Person Specification

Experience Essential

Experience in administration, communications or a hybrid role Excellent written and verbal communication skills Experience using Microsoft Office and digital platforms Experience handling inboxes / customer queries Experience in social media / newsletters / web content

Desirable

Experience supporting events Experience with finance admin processes Experience of using communications or scheduling tools (e.g. Mailchimp, Hootsuite or similar)

Skills/Abilities Essential

Basic design and content creation skills (e.g. using Canva or Adobe tools) Skills in photography, videography or graphic design Strong organisational skills with the ability to work under pressure in a fast-moving environment Ability to prioritise and manage a busy, varied workload, consistently meeting deadlines and work standards Excellent written and verbal communication skills, including good spelling and grammar Able to interpret information and produce clear, engaging communications tailored to different audiences and channels Confident using a range of digital platforms (e.g. website, newsletters, social media) to publish content Strong customer service skills with a professional and responsive approach to enquiries Able to work both independently and as part of a team, using initiative within the scope of the role Reliable and dependable, with a positive and proactive approach High level of attention to detail and accuracy Strong IT skills, including Microsoft Office and SharePoint Good document and records management, maintaining accurate and organised systems Experience of meeting administration, including minute/note taking Project and administrative support skills Good interpersonal skills with the ability to build effective working relationships Professional email and telephone manner Able to develop and follow standard operating procedures (SOPs) Ability to manage multiple deadlines Good attention to detail and record-keeping Strong organisational and prioritisation skills

Qualifications Essential

5 GCSEs or equivalent (this must include A*- C in Maths and English Language or equivalent).

Desirable

Degree or NVQ/QCF Level 3/4 qualification (or equivalent experience) in digital marketing, marketing, communications, media management or new media.
