About this role
What you will do Manage complex calendars and scheduling for senior leadership, including multi-time-zone coordination Arrange domestic and international travel — flights, hotels, visas, and itineraries Draft correspondence, presentations, and reports for leadership Act as point of contact between leadership and internal/external stakeholders Coordinate meetings, offsites, and events end-to-end (agendas, logistics, minutes) Support board/leadership meetings — agenda prep, distributing materials in advance, and capturing action items Manage expense reporting and reconciliationsHandle procurement — POs, requisitions, vendor coordination Support SLA/vendor contract management, including MSA execution and hardware/software licensing Maintain confidential records with discretionSupport new joiner onboarding and knowledge transfer Assist HR/admin teams with engagement activities and ad-hoc tasks What skillsets you should have 5+ years as an Executive Assistant, ideally in IT or a global org Strong calendar, travel, and stakeholder coordination experience Proficiency in MS Office, Outlook, Teams; experience with Concur or similar expense tools Excellent written/verbal communication and organizational skills High discretion with confidential information Ability to multitask independently in a fast-paced environment Nice to have Exposure to recruitment coordination or PMO/procurement functions Familiarity with AI productivity tools or design tools (Canva, InDesign) Experience supporting C-suite/founder-level leadership What we offer An encouraging, challenging work environment and opportunities for working.
