The Partnership for Supply Chain Management (PFSCM) focuses on strengthening and managing secure, reliable, cost-effective, and sustainable global supply chains to enhance health and well-being in low- and middle-income countries by increasing access to quality and affordable health products. We assist governments, non-profit organizations, commercial firms, and humanitarian agencies in achieving their public health objectives through cost-saving procurement, efficient logistics, pharma-grade storage, last-mile delivery solutions, and real-time data tracking. PFSCM, an affiliate of JSI Research & Training Institute, Inc. Overall responsibilities
The Facilities Assistant is responsible for providing day-to-day office and workplace support to contribute to the smooth operation of the PMO-NL office environment. The Facilities Assistant is expected to provide prompt, courteous service to PFSCM staff, visitors, and external contacts, while supporting a professional, organized, and welcoming office environment. The Facilities Assistant supports the Facilities function through reception services, office support activities, and daily workplace services, ensuring that routine office needs are addressed in a timely manner.
Specific responsibilities
Front office support:
• Act as host of PFSCM by greeting and interacting with visitors and staff.
• Answer office phone calls and route appropriately.
• Receive, log, and distribute incoming mail, shipments, and local courier deliveries as needed.
• Assist with shipping of mail going out of the office to various locations (domestic and international).
• Support the daily operations of the reception area and help maintain a professional and welcoming environment.
Facility support:
• Assist the Facilities team with daily workplace support activities and maintain a professional and organized office environment.
• Support the upkeep of kitchen, break areas, coffee machines, work areas, and shared office spaces.
• Ensure kitchen facilities, coffee machines, and common areas are clean, organized, and ready for use.
• Monitor office supplies, kitchen supplies, and refreshments and communicate replenishment needs to the appropriate contact.
• Assist with the set-up and preparation of meeting rooms, including refreshments and catering support as needed.
• Assist with on- and off-boarding of staff with P&C, including support with Facility Tours.
• Identify and report facility-related issues, including equipment, kitchen, or workplace concerns, to the appropriate point of contact
General support:
• Provide administrative and office support to PFSCM-units, as requested and needed.
• Perform other duties as assigned.
Qualifications
Professional and Technical Knowledge
• 0–2 years of experience in reception, office administration, hospitality, customer service, or a related support role.
• Experience providing customer service in a professional office environment preferred.
• Ability to work comfortably with Microsoft Office software, specifically Word, Excel, and PowerPoint.
• Must be eligible to work in the Netherlands. It is important for the applicant to be a resident in the Netherlands and have valid work authorization.
Interpersonal skills/Communication
• Excellent written/verbal communication and interpersonal skills with a strong sense of customer service. English and Dutch fluency required, including speaking, writing, understanding, and reading.
Continuous improvement/Innovative
• Affinity for identifying and championing new ideas and process improvements.
Priority Setting, Problem Solving, & Detail Orientation
• Strong organization skills with an eye for details, ability to plan, prioritize, and implement day-to-day operations in a timely manner in a fast-moving, dynamic, and time-bound environment.
• Team player who is also able to work independently and handle conflicting priorities while maintaining consistent, quality performance standards.
