About this role
Primary Function: Perform administrative duties for divisional and project management teams.
Responsibilities:
• Assists with preparing, coordinating, printing, distributing, tracking, filing and archiving project delivery and construction phase administration files and documents throughout the project life cycle.
• Manages, and takes ownership of duties, calendars, and overall organization in a strong support capacity.
• Consults with Project Managers to complete all required documentation to initiate project start up and closeout.
• Prepares, tracks, and electronically files contract documents.
• Documents project submittals.
• Updates and maintains technical lists and various information databases.
• Verifies subcontractor insurance coverages.
• Assists with creating and maintaining Job Cost reports.
• Edits/proofreads miscellaneous technical letters, correspondence, reports, and other materials.
• Assists with formal responses to requests for proposals and requests for qualifications.
• Promotes integrity, honesty, hard work, safety, and quality throughout all aspects of the project and is a professional representative of M. B. Kahn.
• Performs additional assignments as directed by management or as required for successful project completion.
• Work from the Beaufort office, with occasional travel to Bluffton, Hilton Head, and local jobsites as needed.
Required Skills/Abilities:
• 4+ years of administrative experience (construction industry preferred)
• Proficiency in Microsoft Office, especially Excel and Word
• Experience with Bluebeam, Adobe, or similar software
• Procore experience is a plus
• Ability to learn and work within accounting software systems
• Bookkeeping or accounting background is a plus
• Familiarity with AIA documents and certificates of insurance is a plus
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
• Excellent attention to detail and communication skills
• Ability to work independently and maintain confidentiality
• Associate’s degree or higher preferred
