Job Summary The Intake Coordinator is responsible for processing, organizing, and tracking Early Childhood (3-5) referrals received directly from parents or guardians. This role ensures seamless communication among families, Early Childhood (EC) Consultants, and office staff, maintaining precise documentation and records on shared drives and in tracking systems. Qualifications High School diploma or equivalent. Experience working with children and youth. Driver's license and personal vehicle required. Essential Functions
• Receive and process initial referral forms submitted by parents or guardians.
• Log all incoming referrals in the Early Childhood (3-5) Referral Log promptly upon receipt.
• Handle supporting referral documentation (medical records, court orders, releases).
• Organize referral information using the established file and folder structure.
• Email communication with licensed early childhood staff with additional documents and information received, relevant to the initial referral.
• Send informational packets by mail to families when requested by licensed early childhood staff.
• Maintain continuous processing and notification procedures for early childhood providers throughout the year.
• Share referral documents directly with assigned early childhood providers via Google Docs and facilitate document sharing between AEA staff.
• Periodically audit completed referrals, enter final results into the Early Childhood Referral Log, and execute appropriate archiving.
• Create upcoming school year folders and purge archived folders older than two school years.
