About this role

At Cambridge Development and Alumni Relations (CUDAR), our Events Team delivers a varied programme of events that brings together alumni, donors, supporters and colleagues from across the University. From lectures and networking events to donor receptions and celebrations, every event helps build lifelong relationships with Cambridge.

We're looking for an organised, proactive and enthusiastic Events Assistant to join our team for a 1 year fixed term contract. This is a varied, hands-on role where you'll support the planning and delivery of events from start to finish. Working alongside experienced Events Managers and Events Producers, you'll help ensure every event runs smoothly and creates an outstanding experience for our guests.

About the role

You'll provide essential administrative and practical support across our events programme, including: Preparing invitations, guest communications and online booking forms. Responding to enquiries from alumni, donors and colleagues. Maintaining guest information, bookings and event records. Producing event materials, including programmes, name badges and briefing packs. Coordinating travel, accommodation and supplier arrangements. Processing purchase orders, invoices and event payments. Preparing reports and updating event databases. Supporting event delivery, including guest registration and on-the-day coordination.

No two weeks are the same. You'll often be managing multiple events at different stages, so you'll enjoy variety and be confident adapting to changing priorities.

About you

We're looking for someone who enjoys working with people and understands that successful events are built on excellent organisation.

You'll bring:

Administrative experience within events, hospitality, customer service or a similar environment. Excellent organisational skills and the ability to manage multiple priorities. Strong attention to detail and accuracy. Excellent written and verbal communication skills. Good IT skills, including Microsoft Office, and confidence learning new systems. A proactive, flexible approach and the ability to remain calm under pressure.

Experience in higher education, fundraising, alumni relations or membership organisations would be an advantage, but isn't essential.

Working arrangements

This role is based in Cambridge and requires a minimum of three days per week on site, Monday to Friday. As many of our events take place outside normal office hours, you'll also be expected to work some evenings and occasional weekends. Time off in lieu is provided in accordance with University policy.
