Job summary
We are looking for a friendly, organised and compassionate individual to join our busy GP surgery team as a Patient Care Navigator / Receptionist / Administrator.
As the first point of contact for patients, you will play a key role in delivering excellent customer service and ensuring the smooth day-to-day running of the practice. Your responsibilities will include welcoming patients, answering telephone and face-to-face enquiries, responding to emails, processing prescription requests, filing and coding clinical correspondence, supporting safeguarding processes, undertaking site checks, monitoring stock levels and helping maintain a safe and efficient environment for patients and staff.
Working as part of a supportive team of four, you will contribute to a shared workload and help ensure patients receive the right support at the right time. The role is offered on a split rota of 07:45-13:45 (Week 1) and 13:00-19:00 (Week 2).
This is an excellent opportunity for someone who enjoys helping people, thrives in a fast-paced environment and takes pride in delivering high standards of service. Previous experience in reception, administration, customer service or healthcare is desirable but not essential, as full training will be provided.

Main duties of the job
As a Patient Care Navigator / Receptionist / Administrator, you will be the first point of contact for patients and visitors, providing a professional, friendly and efficient service at all times. You will welcome patients to the surgery, respond to enquiries both in person and by telephone, and support patients in accessing the most appropriate services.
The role includes a range of administrative responsibilities, such as processing prescription requests, responding to practice emails, filing and coding hospital letters and clinical correspondence, maintaining accurate patient records, and ensuring information is handled confidentially and in accordance with practice policies.
You will support the practice's safeguarding responsibilities by identifying and escalating any concerns appropriately and adhering to all relevant procedures. In addition, you will contribute to the smooth day-to-day operation of the surgery by undertaking site checks, helping to maintain stock levels, reporting issues as required, and ensuring the premises are opened, secured and maintained safely.
Working as part of a team of four, you will share workloads, support colleagues during busy periods, and contribute positively to a collaborative and patient-focused working environment. The post requires excellent communication skills, attention to detail, flexibility, and a commitment to providing high-quality customer service and patient care.

Patient Care & Reception
Meet and greet patients and visitors in a professional and welcoming manner. Assist patients with enquiries, signposting them to the most appropriate service where necessary. Respond to patient queries both in person and over the telephone. Support patients with appointments, registrations and general practice services. Maintain patient confidentiality at all times. Administrative Duties
Process incoming hospital correspondence, including filing and clinical coding of letters and reports. Process prescription requests accurately and efficiently. Respond promptly to emails received by the practice. Maintain accurate patient records and update information as required. Undertake general administrative tasks to support the smooth running of the practice. Safeguarding & Compliance
Identify and escalate any safeguarding concerns or requests appropriately. Follow all practice policies, procedures and information governance requirements. Support the practice in maintaining a safe environment for patients, staff and visitors. Premises & Operational Support
Carry out routine site and building checks as required. Ensure the building is secure at opening and closing times. Monitor and maintain appropriate stock levels of clinical and office supplies. Report maintenance issues or concerns promptly. Teamworking
Work collaboratively as part of a team of four within the reception and administration function. Support colleagues during busy periods and contribute positively to team objectives. Participate fully in the shared workload and demonstrate flexibility where required. Promote a positive, patient-focused culture throughout the practice. About You
