Job summary
We are looking for friendly, organised and proactive Receptionist/Administrators to join our busy and supportive team at Crown Medical Centre. We have two part-time vacancies available, each offering up to 30 hours per week.
This is a varied and rewarding role where no two days are the same. As one of the first points of contact for our patients, you will play a vital role in ensuring they receive a professional, compassionate and efficient service while supporting the smooth day-to-day running of the practice. You will work across reception and administration support, using excellent communication and organisational skills to help deliver high-quality patient care. We are looking for someone who enjoys working as part of a team, remains calm under pressure, has excellent attention to detail and is committed to providing outstanding customer service.
Main duties of the job
The successful candidate will provide a welcoming and professional service to patients, both face-to-face and over the telephone, ensuring they are directed to the most appropriate service. Alongside reception duties, you will support a wide range of administrative functions including appointment management, patient registrations, prescription requests, maintaining accurate patient records, handling clinical correspondence and supporting the practice with document management and workflow.
The role requires excellent communication skills, the ability to manage competing priorities, a high level of accuracy and the confidence to work collaboratively with clinicians and colleagues whilst always maintaining patient confidentiality. Flexibility is essential as you will also provide cover across different areas of the practice to support service delivery.

Crown Medical Centre is a friendly, forward-thinking GP practice providing high-quality care to approximately 10,000 patients. Our experienced multidisciplinary team includes five GP partners, two salaried GPs, a skilled nursing team of Nurses and HCAs, and a dedicated team of receptionists and administrators who work collaboratively to deliver an excellent service to our patients.
We are currently looking to recruit two enthusiastic, motivated and patient-focused Receptionist/Administrators, with each post offering up to 30 hours per week. Previous experience of using EMIS Web would be an advantage but is not essential, as full training and support will be provided.

Job description Job responsibilities
As a Receptionist/Administrator at Crown Medical Centre, you will play a key role in delivering an efficient, professional and compassionate service to our patients while supporting the smooth day-to-day running of the practice.
You will be the first point of contact for patients, responding to enquiries in person, by telephone and online, ensuring patients are signposted to the most appropriate service and appointments are booked in accordance with practice protocols.
The role includes a variety of reception, administration and prescription support duties, including:
Providing a professional and welcoming reception service to patients and visitors.
Answering telephone calls and responding to patient enquiries.
Booking, amending and cancelling appointments using the practice clinical system.
Registering new patients and maintaining accurate patient records.
Processing prescription requests in accordance with practice procedures.
Managing incoming clinical correspondence and ensuring documents are processed accurately and within agreed timescales.
Scanning, coding and uploading documents to patient records.
Supporting workflow processes and escalating urgent information appropriately.
Liaising with clinicians, pharmacies, hospitals and other healthcare organisations.
Maintaining confidentiality and handling sensitive information in accordance with GDPR and NHS information governance requirements.
Contributing to the smooth running of the practice by working flexibly across reception and administrative functions and providing cover for colleagues where required.
The successful candidate will have excellent communication and customer service skills, strong attention to detail and the ability to prioritise work in a busy environment. They will be confident using IT systems, enjoy working as part of a team and be committed to providing high-quality patient care.
Previous experience within a GP practice or NHS setting would be advantageous but is not essential, as full training will be provided for the right candidate.

Person Specification
Experience Essential
Previous experience working in a customer service or administrative role. Experience of communicating effectively with members of the public both face-to-face and by telephone. Experience of working accurately with confidential information. Experience of working in a busy environment where priorities frequently change. Experience of using computerised systems and data entry with a high level of accuracy.
Qualifications Essential
Good standard of general education, including GCSEs (or equivalent) in English and Maths (Grade C/4 or above). Competent IT skills with experience of using Microsoft Office applications, including Outlook, Word and Excel. Willingness to undertake training relevant to the role.
Desirable
NVQ Level 2 or 3 in Business Administration, Customer Service or equivalent. EMIS Web training or certification.
