An exciting opportunity has arisen for an enthusiastic and experienced Office Manager to join our friendly and supportive GP practice.
This is an excellent opportunity for an organised and proactive individual with strong office management or healthcare administration experience. Previous GP practice experience would be advantageous, although applications from candidates with relevant management experience are welcomed. The ideal candidate will be seeking a full-time position; however, part-time applications will also be considered.
Reporting to the Senior Management Team and working closely with the GP Partners, clinicians and administration teams, you will play a key role in ensuring the smooth day-to-day running of the practice and supporting the delivery of high-quality patient care.
Main duties of the job
The successful candidate will be responsible for the day-to-day operational management of the practice, leading and supporting the administration and reception teams to ensure an efficient, responsive and patient-focused service.
Key responsibilities will include:
Leading, supervising and supporting the administration and reception teams. Managing HR matters including recruitment, induction, appraisals, performance management and sickness absence. Ensuring the smooth day-to-day operation of the practice. Monitoring and supporting the achievement of contractual, quality and performance standards. Working closely with the Senior Management Team and GP Partners on service improvement and operational projects. Effectively prioritising competing demands, delegating work appropriately and meeting deadlines. Promoting excellent patient service and fostering positive working relationships across the multidisciplinary team.
This is a pivotal leadership role within the practice and requires excellent organisational, communication and interpersonal skills. You will be approachable, calm under pressure and able to motivate and support a busy team while maintaining a positive working environment.

To provide a management function to the Reception team, thereby assisting with the smooth running of the practice.
To lead the Reception team, ensuring an efficient and professional manner is maintained.
To provide a focal point of communication between patients, doctors and other medical staff.
To act as a role model, demonstrating and promoting the standards expected by the practice and creating the energy and enthusiasm for the service.
To liaise with and assist the Deputy Practice Manager and Practice Manager as and when required, deputising where necessary.
Person Specification
Essential skills Essential
Previous management experience (minimum 12 months). A good understanding of customer care and effective complaint handling. IT literate, including intermediate experience using Microsoft Word and Excel. Management or customer services qualification, or willingness to undertake management training. Reception or customer care experience. Experience of dealing with external organisations at management level. Experience of dealing with members of the public. Knowledge of employment law, health and safety legislation and risk assessment. Knowledge of recruitment, staff training and staff motivation. Familiarity with Windows-based software and network environments. Experience of complex administration and record keeping in an office environment. Adaptable and comfortable dealing with changing priorities. Ability to understand and learn new software and administrative procedures. Familiar with email and the internet. Ability to remain calm under pressure and apply common sense when dealing with unusual situations. Reliable and accurate in all aspects of work.
Desirable
Experience in NHS finance. Experience using EMIS clinical software. Formal qualification in IT, Management or Customer Services. Previous experience in an analytical role. Previous NHS or GP practice experience. Experience of undertaking staff appraisals and managing grievance and disciplinary matters.
