About the Role
As a Bilingual Medical Virtual Assistant, you will help keep patient and administrative workflows organized from intake through documentation and follow-up. You will communicate with English- and Spanish-speaking patients, including patients referred by law firms, while coordinating appointments, referrals, medical records, and attorney requests.
You will also review and clean AI-generated medical notes, making this a strong opportunity for someone who combines healthcare experience with curiosity about emerging technology. This role offers meaningful autonomy and is best suited to someone who thinks critically, solves problems proactively, and can adapt as workflows evolve.
Responsibilities
Manage patient intake and ensure demographic, insurance, referral, and case information is complete and accurateSchedule, confirm, and coordinate patient appointments while maintaining clear communication with patients and the clinical teamCommunicate professionally in English and Spanish with patients, law firm representatives, attorneys, and healthcare partnersSupport patients referred by law firms by tracking documentation, appointments, and required follow-upReview and clean AI-generated medical notes for clarity, formatting, completeness, and obvious inconsistencies before final reviewPrepare and coordinate medical referrals, ensuring supporting records and documentation are includedSend requested medical documentation and case updates to attorneys through approved communication channelsMaintain accurate, organized, and current patient records within the Electronic Health Records systemUse Gmail, Google Drive, Google Chat, Google Meet, and other Google Workspace tools to manage communication and documentationIdentify workflow gaps and recommend practical improvements that reduce errors, delays, or repetitive administrative workRequirements
Must-Have:
Full professional fluency in English and Spanish, both written and spokenExperience supporting a U.S. medical practice or healthcare providerHands-on experience with patient scheduling, intake, referrals, and medical documentationConfidence using Electronic Health Records systemsStrong computer skills and experience with Google Workspace, including Gmail, Drive, Chat, and MeetExcellent organization, written communication, and attention to detailAvailability to work Monday through Friday during Pacific Standard Time business hoursNice to Have:
