Working Hours:

28 hours per week, worked over 4 days (7 hours per day)

Salary dependent on experience.

We are seeking a friendly, organised, and professional Medical Secretary to join our busy GP practices. Mainly to our central sites, Beechcroft and Old Palace Surgery.

The successful candidate will provide high-quality administrative and secretarial support to our clinical team, ensuring the smooth coordination of patient referrals, correspondence, and medical records. This is an excellent opportunity for someone with strong communication skills, excellent attention to detail, and the ability to work efficiently in a fast-paced healthcare environment while maintaining patient confidentiality.

Main duties of the job

Provide comprehensive secretarial and administrative support to GPs, nursing staff, and the practice management team. The role includes preparing and processing clinical correspondence using word processing and audio typing skills, undertaking a range of general clerical duties, and contributing to the efficiency and productivity of the secretarial team. The postholder will support services across two practice sites and assist with insurance reports and other private (non-NHS) work.

Job description Job responsibilities

To provide efficient audio, copy typing & word processing in accordance with practice policies & systems; this includes letters, reports, etc: in an accurate and efficient manner.

To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications, taking & dealing with appropriate messages.

All relative information from outside agencies to be kept up to date & filed, including contact numbers, addresses etc.

Update templates relative to either patient or hospital referral or recall.

To assist in gathering statistics and information when required.

To provide adequate cover for members of the secretarial team during periods of annual leave and sickness.

Managing patient records, ensuring they are accurate up to date and securely stored.

Ensure documents are scanned and actioned withing a timely manner.

To initiate the referral via the ERS service, inform & send patients the necessary information, assisting the patient if they have problems.

Processing insurance and private work, ME Referrals and SARS requests

Any other duties appropriate to the role

Person Specification

Qualifications Essential

Education to GCSE level, NVQ level 2 (or equivalent) Computer literate Knowledge of clinical databases including SystmOne Ability to use Microsoft Office programs (Word & Excel)

Administrative qualification

Experience Essential

Experience of working with healthcare professionals Experience working in an environment with direct patient contact Experience in a GP Practice or Health Care Organisation

Personal Qualities Essential

Good communication skills, in person and over the telephone Possessing sensitivity, tact and diplomacy Self-motivated with a high degree of personal integrity Ability to maintain strict confidentiality & able to work under pressure
