About this role

Job summary

Byfield Medical Centre is looking for a friendly, enthusiastic, and motivated individual to join our reception team. We are a small rural practice on the borders of Northamptonshire, Oxfordshire and Warwickshire in beautiful countryside.

As the first point of contact for our patients, you will play a vital role in delivering excellent customer service and ensuring patients receive the support they need. No previous GP experience is required we provide full training, including the use of the EMIS clinical system, telephone handling, appointment booking, and all aspects of working in a busy NHS general practice.

The hours are:

Monday 1.00pm - 6.30pm, Tuesday 2.00pm - 6.30pm, Wednesday 2.00pm - 6.30pm, Thursday 2.00pm - 6.30pm and Friday 1.00pm to 6.30pm

Main duties of the job

Welcome patients and visitors in a friendly, professional, and compassionate manner. Answer telephone calls promptly and deal with patient enquiries courteously and efficiently. Book, amend, and cancel appointments using the EMIS clinical system. Signpost patients to the most appropriate clinician or service. Process incoming and outgoing correspondence, both electronically and by post. Maintain accurate patient records while ensuring strict confidentiality at all times. Carry out general administrative duties including scanning, filing, photocopying, and document management. Work closely with GPs, nurses, and the wider practice team to support the smooth running of the practice.

Greet patients and visitors to the practice.

Book in patients and visitors in line with practice appointments and visitors procedures.

Respond and/or redirect all patient and visitor requests accordingly.

Booking, amending and cancelling patient appointments.

Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.

Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).

Hand out prescriptions/medications to patients.

Deal with patient queries.

Assist the admin team with chasing referrals and sending out documentation relating to insurance claims and medicals.

Undertake computerised mandatory training.

Undertake annual Basic Life Support training.

Ensure answering machine service for out of hours information is directed appropriately switched to answer machine at close of practice and back to surgery each morning.

Attend staff meetings contributing ideas where appropriate.

Previous reception experience or experience of working in General Practice
