Job summary
This is an exciting opportunity to join a busy, diverse and community focused GP surgery team serving a large patient population in North West London. The postholder will be a key point of contact for patients, clinicians and external partners, supporting the delivery of excellent primary care services.
Main duties of the job
To provide high quality, patient centred reception and administrative support within Freuchen Medical Centre. The role combines front of house duties with back office administrative responsibilities to ensure smooth, safe and efficient running of the practice. The postholder will be a key point of contact for patients, clinicians, and external partners, supporting the delivery of excellent primary care services.

Job description Job responsibilities
Provide a warm, professional welcome to all patients and visitors. Manage patient check-ins, appointment bookings, cancellations and queries via telephone, online systems, and in person. Navigate patients to the most appropriate clinician or service using practice protocols. Handle prescription requests, sick notes, registration forms and general enquiries. Maintain confidentiality and uphold GDPR and Caldicott principles at all times. Support vulnerable patients with empathy and clear communication. Manage waiting room flow, ensuring safety, dignity and timely escalation of concerns.

Qualifications Essential
Ability to work flexibly across reception and administrative duties and outside core hours Arabic speaking
Desirable
Experience of working in General Practice using EMIS clinical system Experience working as part of a multidisciplinary team Understanding of primary care processes (QOF, recalls, safeguarding, LTC management).

Excellent communication skills (written and oral) Clear, polite telephone manner Excellent organisational skills and attention to detail. Effective time management Ability to work as a team and independently Ability to remain calm under pressure Confident using IT systems, including Microsoft Office Process clinical correspondence, including hospital letters, tasks and document workflow. Update patient records accurately using EMIS Web (or relevant clinical system). Support recall processes (e.g long-term condition reviews, immunisations, smears). Assist with data entry, coding and summarising of medical records. Manage incoming and outgoing mail, emails and practice inboxes. Support rota coordination, room bookings and meeting administration. Prepare reports, spreadsheets, or templates as required by the management team. Assist with maintaining practice policies, SOPs and compliance documentation.
