Position Overview: The Sales Coordinator provides administrative, sales, and relationship support for Account Executives and sales leadership. This role coordinates the systems used to develop and support real estate referral-partner relationships, including appointments, partner research, CRM management, activation and welcome activities, marketing requests, open-house support, events, and post-closing follow-up. The Sales Coordinator exercises sound judgment, manages multiple priorities, and ensures sales commitments and partner requests are completed accurately and on time. This role provides local support and does not provide mortgage advice or perform loan processing functions.

Job Responsibilities:

• Coordinate, schedule, and confirm business-development meetings, Realtor presentations, partner appointments, office visits, open houses, and events using Outlook, Teams, Zoom, and other approved platforms. • Research real estate agents, teams, production, brokerage and office affiliations, listings, referral history, and existing relationship information; prepare concise meeting briefs for Account Executives. • Maintain accurate CRM records, including contact information, relationship status, notes, activities, referral source, partner ownership, next steps, and follow-up tasks. • Coordinate the onboarding and activation of new referral partners, including welcome materials, appointments, approved resources, communication-list enrollment, and follow-up activities. • Monitor and organize designated Account Executive email and calendar workflows; identify appointments, partner requests, commitments, and time-sensitive issues, and draft routine communications using approved templates. • Create or coordinate approved, template-based financing flyers, listing and open-house materials, presentations, and other partner resources; route custom marketing requests to the appropriate team member. • Proactively contact partners regarding support for new listings, open houses, newsletters, text campaigns, database outreach, door-knocking campaigns, client education, and other approved business-development activities. • Assist with Realtor presentations, educational programs, networking events, office meetings, and partner-appreciation activities, including invitations, registration, materials, setup, supplies, attendee tracking, and follow-up. • Coordinate approved birthday, holiday, closing, and recognition outreach, including cards, communications, mailing, and completion tracking. • Run the approved post-closing relationship checklist to confirm borrowers and transaction partners are added to applicable long-term marketing, retention, and relationship programs. • Review new pre-approvals, purchase contracts, and funded loans to identify buyer agents and listing agents who are not established partners and provide the Account Executive with information for timely outreach. • Track outstanding commitments and partner requests through completion; prepare routine activity reports and escalate delays, service concerns, or relationship risks as appropriate.

Qualifications and Skills:

• High school diploma or equivalent; associate’s or bachelor's degree, preferred. • Experience in sales support, executive support, customer service, marketing coordination, office administration, event coordination, or a related role. • Experience with CRM systems, preferred. • Excellent communication skills, including preparing clear, professional, and grammatically correct emails. • Excellent organization, prioritization, time management, and follow-through skills. • Skilled in managing multiple requests and deadlines simultaneously. • Skilled in working independently and exercising sound judgment in a dynamic environment. • Skilled in handling confidential information with discretion and escalating sensitive or complex matters appropriately. • Proficiency with Microsoft Office, including Outlook, Word, Excel, Teams, and PowerPoint. • Local availability and flexibility to attend meetings, open houses, partner offices, and occasional early-morning, evening, or weekend events as needed.
