About this role
Primary Purpose: Provide secretarial duties and assist the Assistant Superintendent of Human Talent and Directors of Human Talent with functions to ensure quality staffing and effective practices in Human Talent management.
Qualifications Minimum Education/Certification High School diploma or equivalent Bachelor's Degree preferred Minimum Experience: Three years secretarial/clerical experience, preferably in public education environment Special Knowledge and Skills Proficient computer skills in Word, Excel, Adobe PDF, Power Point File maintenance skills Ability to follow written instructions Ability to operate multi-line phone system Effective organization, communication, and interpersonal skills Bilingual preferred Major Responsibilities and Duties
• Onboarding of new employees; prepare new hire packet for review, schedule onboarding appointment and send new hire onboarding paperwork
• Assist with scanning new employee files into records management system
• Assist with the building and maintenance of employee files and records
• Data entry of employee deductions, direct deposit, professional dues, name changes, W4, and all other deductions submitted by employee
• Assist in verification of applicant credentials
• Assist employees and applicants with completing applications and required paperwork
• Coordinate and communicate with Department Leads/Administrators/Admin. Assistants regarding new hires and with all employees regarding their paperwork
• Track all new hires and distribute reports as needed
• Process paperwork and build files for all new employees
• Update employee information changes in eFinance Plus
• Process employee resignations and resignation acceptance letters
• Produce service records for all employees as requested and prepare service records for Asst. Director to calculate new salary
• Assist with switchboard relief
• Maintain confidentiality
• Assist with ID badges
• Assist with job fair and other department run ceremonies/banquets
• All other duties as assigned
