TITLE: Administrative Assistant III - Elementary GRADE: M - Support Staff Scale CONTRACTUAL DAYS: 260 REPORTS TO: Principal Job Goal: To serve as the primary administrative engine of the campus, facilitating daily operations and fostering a positive school culture. This role acts as the central point of contact for students, staff, parents, and the community, requiring a high degree of organization, discretion, and problem-solving capability. Qualifications:

• High School Diploma or GED equivalency required.

• Maintains strict confidentiality regarding student and staff information in compliance with FERPA and HIPAA regulations.

• Demonstrates expertise in office productivity suites (e.g., Google Workspace, Microsoft Office) and specialized educational database management.

• Possesses the ability to prioritize competing tasks in a fast-paced, high-interrupt environment without compromising accuracy.

• Exhibits strong verbal and written communication skills, with a focus on de-escalation and supportive service.

Performance Duties:

• Oversees all reception activities, including managing high-volume communications, directing visitors, and maintaining a secure, organized entry point for the facility.

• Maintains accurate student records within the Student Information System (SIS), including attendance tracking, enrollment data, and the processing of transcripts.

• Facilitates the flow of information between the school administration and external stakeholders through newsletters, emails, and official announcements.

• Manages the master school calendar, schedules use of facilities, and coordinates daily substitute teacher coverage to ensure instructional continuity.

• Provides comprehensive administrative aid to the Principal and faculty, including report preparation, document filing, and the management of sensitive correspondence.

• Handles school-level bookkeeping tasks, such as processing purchase orders and collecting student fees in accordance with division policy.

• Monitors inventory levels for office and instructional supplies, initiating procurement as needed to prevent delays.

• Assists in the execution of emergency drills and maintains up-to-date emergency contact logs and visitor management protocols.

• Provides initial triage for minor student injuries or illnesses and coordinates with the school nurse for medication administration and health record compliance.

• Curates and updates the school's website and social media platforms to ensure community engagement and timely information sharing.

• Assists in the planning and execution of school-wide events, including graduation ceremonies, parent-teacher conferences, and orientation nights.
