Administrative Asst to Student Services and Postsecondary Readiness Overview: The Administrative Assistant for Student Services and Postsecondary Readiness works directly with the Directors of Student Services and College & Career Readiness to support the administrative tasks, department operations, and student programming connected to each of these departments. This position also serves as the D128 Summer School Administrative Assistant. Reports to: Director of Student Services and Director of College & Career Readiness Employee status: 12-month full-time Education Support Personnel (ESP) Qualifications: High School graduate or equivalent Proficiency in Google Suite Preferred Qualifications:
• Previous administrative experience in a school district, college, nonprofit organization, or other educational setting.
• Experience working with official records, data reporting, budgets, event coordination, and program logistics.
• Familiarity with college and career readiness programs, dual credit, student services, summer school, or school-based support systems.
• Experience communicating with community organizations, employers, colleges, and other external partners.

• Highly Organized and Detail Focused: Ability to support multiple priorities, projects, and events. Maintain a system of records and data. Ability to manage complex, school-wide logistics with precision.

• Data and Technology Systems Proficiency: Strong proficiency and experience working effectively with spreadsheets, databases, student-information systems, email, calendars, and common office software.

• Strong Communication Skills: Strong writing and verbal skills and the ability to communicate ideas, program details, and procedures effectively.
Job Responsibilities:
• Manage calendars, appointments, meetings, agendas, and department schedules.
• Coordinate meeting logistics, including room reservations, materials, communications, food, and documentation.
• Maintain accurate electronic and paper records.
• Prepare correspondence, reports, presentations, forms, and other departmental documents.
• Monitor departmental budgets, purchase orders, invoices, reimbursements, and expenditures.
• Respond to questions from students, families, staff members, and community partners, routing inquiries to the appropriate individual when necessary.
• Support special projects and other departmental priorities as assigned.
