IRVING INDEPENDENT SCHOOL DISTRICT RISK MANAGEMENT ADMINISTRATIVE ASSISTANT I JOB DESCRIPTION JOB TITLE: Risk Management Administrative Assistant I WAGE/HOUR STATUS: Nonexempt REPORTS TO: Director of Benefits & Risk Management PAY GRADE: Para- 070 (230 days) DEPARTMENT: Risk Management DATE REVISED: July 2026 A Letter of Assurance will be issued for this position. PRIMARY PURPOSE: Work directly with the Director of Benefits and Risk Management and support the department through a variety of administrative tasks and projects. Perform complex tasks involved in managing various programs, including but not limited to, Workers' Compensation, Unemployment, Safety and Loss Control, and Auto Liability. Coordinate the operations of the department in the absence of the Director of Benefits & Risk Management. Must be highly self-motivated, professional, capable of managing workload and prioritizing tasks/projects in a fast-paced, quickly changing environment. QUALIFICATIONS: Education/Certification:
• High School Diploma or GED required
• Some college or equivalent work experience preferred
• Adjuster's license or equivalent certification(s) preferred
• TASBO certification, or willingness to obtain within 2 years of entering the position

• Possess knowledge of basic medical terminology
• Ability to conduct small group oral presentations
• Provide recommendations for new methods of working to improve effectiveness and efficiency
• Self-motivated and ability to work and prioritize tasks with little supervision
Experience: Three (3) to five (5) years of administrative support (required) and risk management experience (preferred), including workers' compensation claims processing. Must have strong mathematical and analytical skills. MAJOR PERFORMANCE RESPONSIBILITIES AND DUTIES: Administrative Duties/Communication/Office
• Support supervisor via recurring and nonrecurring tasks.
• Communicate with governmental agencies, human resource agencies, Insurance Agencies, Workers' Compensation claimants, medical providers, supervisors and claims administrators to help provide information/solve problems related to risk management.
• Organize information and materials necessary for various committee meetings and disseminate meeting minutes in a timely manner.
• Promote goodwill and effective public relations while maintaining loyalty to supervisor and to the school district.
• Appropriately handle confidential matters/information discreetly and professionally.
Information Management/Claims Processing
• Review and respond to all unemployment claims. Serve as district representative for Texas Workforce Commission (TWC), as needed. Works in defense and settlement of claims against the district.
• Prepare the documentation needed for unemployment hearings; including the coordination of witnesses. In absence of the supervisor, serves as the district representative to provide testimony.
• Oversee the maintenance of District Driver Request Log and ensure timely communication to department supervisors.
• Responsible for injury intake –coordinating treatment and claim submissions and follow through with documentation and updating of information in Workers' Compensation files in accordance with the Texas Workers' Compensation Act.
• Prepare correspondence and maintain employee records related to Workers' Compensation.
• Receive and process ADA (Americans with Disabilities Act) accommodation requests for assigned clusters.
• Oversee and verify that required Workers' Compensation claim forms are processed in an accurate and timely manner to comply with state and federal filing requirements.
• Assist with providing documents for Public Information Act Requests, subpoenas, etc.
• Attend Workers' Compensation benefit hearings and provide information as needed to assist WC legal counsel in representing the District, as needed.
• Manage vehicle registration renewals.
• Manage title transfer process for the purchase and sale of vehicles
• Coordinate planning related to Risk Management events and special projects as assigned by the supervisor.
• Facilitate activities of the department and staff in the absence of the department supervisor.
• Other related duties as assigned.
Fiscal Responsibilities
• Balance and maintain strict accounting of the various RM budget accounts including entering and reconciling POs, ADA purchases, office supplies, and the shoe program for facilities and security staff
• Reconcile billing for district vehicles toll tags and ZipCash fees on a weekly basis.
• Verify validity of toll charges by researching all bus trips and routes. Record all unverified trips in the appropriate database on a daily basis.
• Manage lost time Workers' Compensation claims for Payroll purposes and district leave accounting
• Receive and process restitution payments.
• Enter requisitions for payments of invoices and/or complete journal entries to provide to the Business office.
• Perform system operations including purchase orders, check requests, and financial data needed for unemployment requests.
• Gather quotes from vendors and coordinate delivery of products as needed.
• Manage District property replacement process, ensuring prompt payments are submitted upon receipt of all required documentation and approval from the supervisor.

Must demonstrate ability to communicate effectively (verbal and written). Should be able to interpret procedures and analyze data for decision-making. Frequent in-district and occasional in-state travel. Occasional prolonged and irregular hours. Safety: Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidences immediately to supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
