Job summary
Reporting to the Business Support Services Manager, as Stock Controller you will have a friendly and accessible personal manner and be able to deliver an effective service to Newmedica Northampton. You will be able to work within small teams to maintain and enhance processes to maximise quality and efficiency.
Main duties of the job
Reporting to the Business Support Services Manager, as Stock Controller you would be responsible for ensuring that the service maintains the right level of clinical & non-clinical stock by working closely with the surgeons, Clinical Services Manager and operational director. You will be placing orders and liaising externally with key suppliers to maintain good levels of stock and working closely with our central Newmedica procurement team. As a key member of the team, you will take regular stock levels of the business and look for financial opportunities to ensure that our service is cost effective.

Key Responsibilities
Placing all stock orders to ensure that theatre, clinic, treatment room and the administration function have the consumables required in accordance with the schedule.
To understand and use all functions and reports on the stock management system, Genesis.
Ensure the accuracy of data held in Genesis, maintaining a high level of compliance.
Taking responsibility for ensuring compliance and presenting key stock control KPIs.
Chase late orders, receive in stock, log stock out and ensure stock rotation minimises wastage.
Maintaining stock levels in line with the schedule versus managing the cash flow.
To support the theatre team with the preparation of consumables used by individual surgeons.
Completing the stock audits monthly and communicating to the finance team.
Ensuring that all reusable stock is turned around in a timely manner according to the contract versus the schedule, and by the most efficient solution.
Ensure that records are maintained regarding stock orders versus stock received so that finance can approve invoices.
Ensure that records are maintained regarding the stock received, transferred to clinic date etc. as per the medicines management policy.
Ensure that all equipment with a value of £750 or more is managed via our asset management system, including any required servicing as per the service contracts.
Support in the management of the PPM and equipment servicing.
Maintaining a positive relationship with internal or external stakeholders at every interaction.
Maintain a committed approach to continued professional development and clinical governance, including participating in appraisal process, clinical audits and research as required.
Support the business with general administrative duties as requested by the management team.
Using organizational systems, work with the Leadership Team to ensure that the appropriate and approved, safe stock and medications are available to deliver a safe-service.
To raise POs in line with forecasted needs and with approved suppliers.
To ensure that delivery notes are reconciled to purchase orders, and where shortfalls in deliveries are experienced, work with the supplier to ensure the timely delivery of stock.
To reconcile monthly credit card statement and receipts.
To manage PO, delivery note, and invoice reconciliation through Basware, ensuring accurate approvals and clear guidance.
To place all queried invoices on hold in Basware, raise the query and follow through for a successful resolution with the supplier.
Ensure the relationships with suppliers are not compromised through the non-payment of services.
Working with lens providers ensure that the consolidated stock remains replenished following surgical procedures and to escalate any shortfalls on lens supply.
Working closely with the Private Patient Advisors, ensure special order lenses are ordered and returned in a timely manner.
Work in collaboratively with the Clinical Services Team to identify new products, trial and evaluate instruments, source best-value and safe alternatives, and maintain accurate Genesis records, ensuring operational efficiency and compliance.
Participate in national Service & Supply Network meetings, proactively sharing learning and best practice, capturing feedback and new ideas, and driving their implementation within the service to support continuous improvement.
Gather, validate and analyse stock and financial data, providing insights and recommendations for continuous improvement within the monthly Stock and Finance reporting pack.
Person Specification
Experience Essential
Previous experience of stock management and purchasing in previous roles, with understanding good practice principles. Exceptional administrator who can understand and deliver within a complex working environment. Good organisation skills and the ability to multi-task. Enjoys working with a range of people and is able to tailor their approach to a diversity of service needs. Excellent verbal and written communication skills. Self-starter with the ability to work on own initiative, as well as working well within a team. Enjoys the routine and rhythm of a process driven environment. Comfortable making a significant contribution in a small team. Able to balance working independently with appropriate escalation.
Desirable
Stock control experience in a healthcare setting.
