As a Clinical Coder/Administrator, no two days are the same. This is a varied and fast-paced role that requires excellent attention to detail, strong organisational skills, and the ability to manage confidential information with accuracy and professionalism. You will be responsible for processing incoming correspondence, scanning and coding clinical information onto patient records, and coordinating patient recall programmes to help ensure patients receive timely reviews and ongoing care.

Main duties of the job
The role of the Administrator is to provide administrative support to the Practice by processing incoming mail, correspondence, and clinical documentation. This includes scanning and accurately coding information onto patient records to ensure electronic medical records remain up to date and compliant with practice standards. The post holder is also responsible for supporting and managing patient recall systems, ensuring patients are invited for routine reviews, health checks, and long-term condition monitoring in a timely manner. The role requires excellent attention to detail, strong organisational skills, and the ability to maintain confidentiality while supporting the efficient running of the Practice.

Job description Job responsibilities
Maintain accurate and up-to-date patient records using the practice's clinical system (e.g., SystmOne). Process incoming correspondence, scanning and attaching to the correct patient records. Review and analyse clinical documentation from patient records, assigning appropriate diagnosis and procedure codes, ensuring codes reflect the patient's condition and the care provided. Collaborate with medical staff to clarify documentation discrepancies. Process required outgoing correspondence to third party contacts. Summarisation of new patient records as and when required to formulate accurate patient records. Maintain up-to-date knowledge of coding standards and regulatory changes. Ensure coding accuracy and compliance with national and organizational standards. Contribute to the quality assurance and audit processes. Generate statistical reports on coding data, when required. Participate in ongoing training and professional development. Ensure confidentiality of all patient information in accordance with GDPR and practice policies.
Person Specification
Qualifications Essential
Essential Good general education (GCSE level or equivalent). Evidence of continuing professional development.
Desirable
Desirable Training in customer service, administration, or healthcare support. EMIS or TPP SystmOne training.
Experience Essential
Working knowledge of SystmOne and Microsoft Office. Previous experience in a medical or administrative role (preferred). Knowledge of medical terminology (advantageous). Knowledge of coding systems.
