About this role

Job summary

We are seeking an organised, proactive, and highly motivatedBand 5 Administrative Managerto support the operational and administrative delivery of our Community Response Services. This is a varied and rewarding role supporting multidisciplinary teams across:

Hospital Occupational Therapy (OT) Discharge Nursing Services Single Point of Access (SPA) Community Nurse Practitioners Community Therapy

The successful candidate will play a key role in ensuring efficient service coordination, effective administration systems, and high-quality support to clinical and operational teams. You will help drive service performance, manage administrative processes, and contribute to improving patient flow and community-based care.

Main duties of the job

Provide day-to-day management and supervision of administrative staff across Community Response Services (CRS). Coordinate and oversee administrative processes to support safe and effective patient care pathways. Support operational service delivery across CRS. Monitor staffing rotas, annual leave, sickness absence, and workforce administration. Ensure accurate data entry, reporting, and maintenance of patient records and service activity. Produce performance reports, audits, and service information for managers and senior leadership teams. Act as a key point of contact for internal and external stakeholders, including acute hospitals, community teams, and partner agencies. Support service improvement initiatives and contribute to achieving key performance indicators (KPIs). Maintain confidentiality and compliance with NHS policies, information governance, and data protection requirements. Assist with meeting coordination, minute taking, and action tracking where required. Support recruitment, onboarding, induction, and training processes for administrative staff.

Job description Job responsibilities

Manage and coordinate administrative services across Community Response teams, including Hospital OT, Discharge Nursing, Single Point of Access (SPA), and Nurse Practitioners. Supervise and support administrative staff, ensuring effective day-to-day service delivery. Oversee patient administration processes, data management, reporting, and record keeping. Support operational performance, staffing coordination, and service improvement initiatives. Act as a key liaison between clinical teams, hospitals, community services, and external partners. Ensure compliance with NHS policies, information governance, and confidentiality standards. Provide high-quality administrative and organisational support to managers and multidisciplinary teams

Person Specification

Qualifications Essential

Knowledge of administrative procedures, range of computerised software, own directorate specialised terminology, managerial knowledge, project monitoring, acquired through degree or equivalent level of knowledge and / or experience

Experience and Knowledge Essential

Previous experience of staff supervision Previous administrative systems experience. Operating a PC using WP packages. Computer data input, using spreadsheets. General office duties.

Desirable

Experience of financial systems and providing budgetary information. Experience of staff recruitment, selection, training and staff development.
