Job Description: Job Title: Administrative Assistant – Billing Department: RCM-Billing Location: Charlotte, NC Randolph Road and Park Road locations Reports To: RCM Manager

Position Summary

The Administrative Assistant provides administrative and clerical support to the billing and revenue cycle team to ensure efficient and accurate processing of billing-related activities. This role assists with documentation, data entry, account support, and communication with internal teams and patients. The Administrative Assistant plays a key role in supporting workflow efficiency and maintaining the integrity of operations.

Key Responsibilities

• Provide administrative support to the revenue cycle team

• Assist with data entry and maintenance of patient information in the practice management system

• Prepare, organize, and distribute documents and reports

• Support claim submission processes and ensure required documentation is complete

• Answer incoming calls and route appropriately

• Track and log correspondence, including incoming mail, faxes, and electronic communications

• Assist with payment posting support and reconciliation tasks as needed

• Maintain accurate and organized files (electronic and paper) for records

• Assist with AR, coding, and patient access teams to support issue resolution

• Ensure compliance with HIPAA and organizational policies when handling patient information

• Identify workflow inefficiencies or documentation gaps and escalate to leadership

Qualifications

Required:

• High school diploma or equivalent

• Minimum of 1–2 years of administrative or healthcare office experience

• Basic understanding of medical billing or revenue cycle processes

• Experience with computer systems, data entry, and Microsoft Office applications

• Strong organizational and customer service skills

Preferred:

• Experience in oncology or specialty healthcare setting

• Familiarity with practice management systems and EHR platforms

• Exposure to insurance claims processing or billing workflows
