Job Responsibilities
• Project Reporting and Portfolio Visibility
• Track project status, key milestones, deliverables, risks, issues, dependencies, and portfolio-level metrics to support management visibility and decision-making.
• Assist in consolidating and distributing project-related reports, including project team activity updates, weekly progress reports, monthly status reports, and updates on key business and project activities.
• Support Project Managers in preparing materials for Steering Committee, Governance Board, and management reviews, including slide decks, dashboards, executive summaries, financial updates, and risk or issue summaries.
• Maintain a calendar of key IT project milestones, governance forums, reporting cycles, financial submission deadlines, and enterprise-wide initiatives to ensure visibility and alignment across PMO and IT leadership.
• Financial Tracking and Forecasting Support
• Support project financial consolidation activities, including monthly actuals, forecast updates, timesheet tracking, accrual submissions, variance analysis, and consolidated capital and operating expenditure reporting.
• Coordinate with IT Finance and Project Managers to distribute previous month actual spending, collect forecasted spend inputs, obtain variance explanations, and prepare information required for monthly financial forecast reviews.
• Ensure Project Managers update their project financial trackers, consolidated timesheets, and financial inputs on time, and validate that internal and external labor entries are aligned with the relevant financial trackers.
• Schedule and support monthly project financial forecast meetings with IT Finance and Project Managers, including preparing meeting materials, tracking discussion points, documenting actions, and following up on open items.
• PPM Tool Administration and Data Management
• Administer the Project Portfolio Management (PPM) tool, including maintaining project records, templates, dashboards, reporting inputs, user access coordination, and data quality checks.
• Coordinate onboarding and offboarding of project resources, including access provisioning, PPM/tool setup, documentation handover, and closure of access or administrative items for internal and external team members.
• Maintain the centralized repository of project documentation, ensuring appropriate version control, accessibility, completeness, and alignment with PMO document management standards.
• Resource Utilization and Delivery Coordination
• Collect, consolidate, and prepare reports on enterprise-level resource utilization across project delivery teams, including internal resources, external contractors, and shared delivery resources.
• Assist the PMO Lead in organizing weekly project progress, action, issue, and risk review meetings with core project teams.
• PMO Governance, Meetings and Communications
• Support the Executive Director of Portfolio Management and PMO leadership in scheduling meetings, preparing agendas, taking meeting minutes, and maintaining action, decision, risk, and issue registers.
• Prepare monthly newsletters and coordinate general communication between the PMO department and other departments to promote project visibility, key achievements, upcoming milestones, and governance updates.
• Track and follow up on compliance-related project deliverables, including IT security assessments, data privacy reviews, audit documentation, and other governance artifacts required during project execution.
• PMO Process Improvement and Project Health Checks
• Support improvements to PMO processes, procedures, templates, reporting standards, and project delivery tools to improve consistency, efficiency, and governance maturity.
• Facilitate periodic project health checks using predefined criteria to assess schedule adherence, budget alignment, risk exposure, resource readiness, stakeholder engagement, and overall delivery confidence.
Job Requirements
Education & Certification
• Currently pursuing a Diploma or Bachelor's degree in Business Administration, Information Technology, Project Management, Finance, or a related discipline.
Experience
• No prior work experience required; internship, academic projects, or coursework related to project coordination, reporting, data analysis, or business administration will be beneficial.
• Exposure through studies, internships, or project work to reporting, data tracking, coordination activities, or stakeholder communication will be an advantage.
• Exposure to project financial information such as budget tracking, forecast updates, purchase tracking, or variance explanations is preferred but not mandatory.
• Exposure to preparing presentation materials, meeting notes, reports, or summaries for academic, internship, or project work is preferred.
Other Prerequisites
• Basic understanding or coursework in project management concepts, IT fundamentals, or the project management lifecycle will be an advantage.
• Willingness to learn project management principles, governance processes, reporting standards, and their practical application in a multi-project environment.
• Proficiency in Microsoft Office applications, including Excel, PowerPoint, Word, Outlook, Teams, and SharePoint; exposure to PPM, reporting, dashboard, or collaboration tools is preferred.
• Ability to consolidate information from multiple sources and support preparation of reports, dashboards, meeting materials, and summaries.
• Interest in understanding how project management, financial tracking, resource utilization, and delivery metrics support business value and operational efficiency.
• Basic interest in learning project financial tracking, timesheet tracking, forecasting, accruals, and variance reporting.
• Strong willingness to learn, with good coordination, planning, follow-up, and organizational skills.
• Attention to detail and ability to handle structured data, reports, and documentation with guidance.
• Good communication skills and ability to work collaboratively with Project Managers, Finance teams, technical teams, and business stakeholders.
• Ability to manage assigned tasks, meet deadlines, and follow up on deliverables in a structured project delivery environment.
• Good documentation discipline and willingness to learn best practices in version control, repository management, meeting minutes, action registers, and decision logs.
• Proactive mindset, with curiosity to identify opportunities to simplify reporting, strengthen governance, and improve PMO operational efficiency.
