That help comes in many ways.Job Summary:The Executive Assistant is a trusted partner to the Executive Director and provides high-level executive, governance, and operational administrative support. This position plays a critical role in ensuring the efficient day-to-day operations of the Executive Office while supporting the Board of Directors, Leadership Team, and organization wide initiatives.The successful candidate will coordinate executive priorities, manage governance processes, oversee administrative systems, and provide project coordination that helps the organization operate efficiently and effectively. This role requires exceptional organization, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced, mission-driven environment.Distinguishing Characteristics:The ideal candidate is highly organized, proactive, and detail-oriented, with exceptional administrative and communication skills. They are comfortable managing confidential information, coordinating multiple priorities simultaneously, and supporting executive leadership with professionalism and sound judgment.This position is ideal for someone who enjoys creating efficient processes, coordinating complex administrative functions, and contributing to the overall success of a growing provincial organization.Typical Duties and Responsibilities:Provide comprehensive executive administrative support to the Executive Director.Manage a complex calendar, scheduling meetings while balancing organizational priorities.Coordinate executive travel, accommodations, itineraries, and meeting logistics.Prepare agendas, meeting packages, presentations, briefing notes, reports, and correspondence.Coordinate Board of Directors and Board Committee meetings, including agendas, minutes, governance documentation, and follow-up.Coordinate the Annual General Meeting and support governance processes throughout the year.Maintain confidential executive, governance, and organizational records.Track organizational priorities, action items, approvals, and key deadlines.Coordinate Leadership Team meetings and support annual operational planning activities.Develop, maintain, and improve administrative procedures and office systems that enhance organiza-tional effectiveness.Coordinate organizational policies, procedures, contracts, and document management systems.Assist with administrative support for funding reports, audits, organizational reporting, and special pro-jects.Prepare and process expense claims, purchase requests, invoices, and other administrative records, while coordinating office supplies and facilities requests to support the organization's day-to-day operations.Draft, edit, and proofread executive correspondence, reports, presentations, and organizational commu-nications.Liaise with Board members, staff, government representatives, community partners, donors, and external stakeholders.Support provincial meetings, staff events, planning sessions, advocacy initiatives, and organizational pro-jects.Travel throughout New Brunswick as required.Perform other administrative and operational duties that support the overall mission of the Alzheimer Society of New Brunswick.Quali
