Job summary
We are seeking a highly organised, proactive and professional Executive Assistant to provide high-quality support to a member of our Executive Team at NHS Kent and Medway Integrated Care Board (ICB).
This is a pivotal role that enables senior leaders to operate effectively across a complex and fast-paced healthcare system.
As Executive Assistant, you will manage complex diaries, coordinate meetings and governance activities, prepare briefings and correspondence, track actions, and act as a key point of contact for a wide range of internal and external stakeholders. You will play an important role in ensuring Executive Directors are fully prepared for key decisions, meetings and engagements, while maintaining the highest standards of professionalism, discretion and confidentiality.The successful candidate will be an experienced Executive Assistant / Project Officer with excellent communication, organisational and relationship-building skills. You will thrive in a busy environment, be able to manage competing priorities, and demonstrate initiative, sound judgement and a commitment to delivering high-quality support.This is a fast-paced and rewarding role at the heart of the organisation, offering the opportunity to work closely with senior leaders and make a real contribution to the delivery of healthcare services across Kent and Medway.
Main duties of the job
Provide proactive, high-quality executive and administrative support to an Executive Director. Manage complex diaries, prioritising appointments and coordinating meetings, events and stakeholder engagements. Prepare briefings, reports, presentations, correspondence and other key documentation to support decision-making. Act as a key point of contact for internal and external stakeholders, maintaining effective professional relationships. Coordinate governance and corporate processes, including meetings, action tracking and follow-up activities. Support the management of sensitive enquiries, complaints, correspondence and Freedom of Information requests. Ensure Executive Directors are appropriately briefed and fully prepared for meetings, Board activity and external engagements. Monitor actions and priorities, taking ownership of delegated tasks and ensuring deadlines are met. Support projects, service improvements and business planning activities across the organisation. Handle confidential and sensitive information with discretion, professionalism and integrity. Person Specification
Qualifications and Experience Essential
Educated to degree level or equivalent experience working in a senior administrative or executive support role. Experience in project management, financial management or supporting change management processes Experience and understanding of evaluating and measuring the performance of health services Experience in communications and stakeholder engagement

Information systems development Workforce development knowledge and experience Working knowledge of Microsoft Project ECDL Previous experience in similar role in public sector
