About this role

The essential functions include, but are not limited to the following:

• Greet visitors, coordinate guest arrivals, supports building and parking access needs, and provide general front desk support in a professional manner.

• Schedule meetings, maintain calendars, coordinate conference rooms, and assist with routine meeting logistics as needed.

• Set up meeting rooms, including seating arrangements, room supplies, presentation materials, video conferencing equipment, screens, speakers, microphones, and other basic technology needs.

• Coordinate meeting meals, refreshments, catering orders, delivery timing, setup, cleanup, and related vendor communication.

• Order, receive, stock, organize, and maintain office supplies, kitchen supplies, breakroom items, and shared office equipment needs.

• Track supply inventory, monitor reorder levels, coordinate vendor orders, verify deliveries, and help ensure common areas remain clean, organized, and appropriately stocked.

• Process mail, packages, invoices, purchase requests, expense documentation, and other routine administrative transactions.

• Assist with arranging travel for the executive team as needed, including transportation, lodging, itinerary coordination, and related schedule details.

• Support travel expense processing by collecting receipts, organizing expense documentation, and submitting or coordinating expense reports in accordance with company procedures.

• Assist with onboarding support, badge access, basic employee inquiries, and coordination of office communications as assigned.

• Support department leaders and team members with administrative follow-up, meeting logistics, office coordination, and routine project support.

• Maintain confidentiality of company, employee, customer, guest, vendor, and business information.

• Perform other administrative duties as assigned.

Minimum Qualifications (Knowledge, Skills, and Abilities)

• High school diploma or equivalent required; associate degree or administrative training preferred.

• Two or more years of administrative, clerical, office support, reception, facilities coordination, or related experience preferred.

• Working knowledge of Microsoft Office, including Outlook, Word, Excel, and Teams.

• Ability to greet visitors, coordinate guest arrivals, manage routine office requests, and communicate clearly with employees, vendors, and visitors.

• Basic understanding of meeting room setup, including seating arrangements, supplies, presentation materials, video conferencing tools, and common office technology.

• Ability to coordinate catering, meals, refreshments, vendor deliveries, setup, cleanup, and guest logistics with attention to timing and detail.

• Ability to track inventory, place office and kitchen supply orders, verify deliveries, and maintain organized common areas.

• Ability to assist with executive travel arrangements, itinerary coordination, receipt collection, and travel expense documentation.

• Strong attention to detail, organization, follow-through, and ability to prioritize assigned tasks.

• Dependable, punctual, service-oriented, and able to work effectively in a team environment.

• Ability to work with a sense of urgency while maintaining professionalism, accuracy, and composure.
