About this role

Job summary

Due to a member of the team upskilling into a new role, we are seeking a Care Navigator/Receptionist to join our fast-paced reception and administration team.

We are looking for individuals who feel they will be able to settle into a busy practice, whilst able to work independently and as part of a team. Previous primary care or GP surgery experience is desirable, although applicants with relevant transferable skills will also be considered.

Main duties of the job

Provide a professional and welcoming first point of contact for patients, visitors and healthcare professionals.

Manage a busy telephone system, responding to enquiries and directing patients to the most appropriate service.

Book, amend and cancel patient appointments in accordance with practice protocols.

Receive patients at the reception desk, recording arrivals and assisting with enquiries.

Process repeat prescription requests in line with practice procedures.

Deal with incoming emails, post and other administrative correspondence.

Liaise effectively with GPs, nurses, pharmacists, hospitals and other healthcare organisations.

Carry out administrative tasks relating to patient records, including scanning, document management and filing.

Follow practice protocols to ensure consistent and high-quality care is provided to our patients.

Act as directed by other members of the practice team.

Provide reception and administrative cover for colleagues during periods of annual leave or sickness absence.

Work across both Ireland Wood and Horsforth practice sites when required.

Ensure confidentiality is always maintained in accordance with General Data Protection Regulation (GDPR) and practice policies.

Job description Job responsibilities

The Care Navigator/Receptionist is an essential member of the practice team, providing a professional, efficient and patient-focused reception and administrative service across both practice sites. Working closely with the Practice Manager, GP Partners and the wider clinical and administrative teams, the post-holder will help ensure the smooth day-to-day running of the practice while delivering excellent customer service to patients and visitors.

A key part of the role is supporting patients with their queries and appointment requests, helping them to access the most appropriate healthcare professional or service in line with practice protocols. The post-holder will manage appointments, respond to telephone and face-to-face enquiries, process repeat prescription requests and undertake a range of administrative duties to support the delivery of safe and effective patient care.

The role also includes maintaining accurate patient records, processing correspondence and supporting communication with hospitals, pharmacies and other healthcare organisations. The post-holder will work in accordance with practice policies, maintain confidentiality at all times, and provide cover for colleagues and across both practice sites when required.

Overall, this is a varied and rewarding role that requires excellent communication, organisational and IT skills, together with the ability to work calmly and effectively in a busy environment while providing a high standard of patient care and customer service.
